Skills & Credentials

Employee skills tracking, certifications, licenses, and competency management.

Overview

Skills & Credentials is the system of record for what your people are qualified to do. An admin-owned catalog holds three kinds of entry — skills, certifications and licences — each flagged for whether it requires a certification, an uploaded document, or carries a bonus, plus learning links employees browse themselves. Proficiency runs on a five-level scale whose labels you set; issuing authorities come from a registry of shared and tenant-added bodies.

Skills reach an employee's record four ways: a self-claim from My Skills on desktop or phone; a CSV import or a batch assignment by role type; a course completion or passed practice check written back from Training and Practice Hub; and AI inference, which scores a skill from work signals with its provenance and routes anything below your confidence floor to a manager review queue. Managers verify submissions from a review queue, and editing a verified credential resets it for re-approval.

Certifications are stored as dated validity periods, not one mutable row. A guided renewal supersedes the old period and opens a new one, so the history survives and reports can answer "who held a valid credential on this date?" Each period keeps its own certificate number, credential URL, issuing authority and uploaded evidence (PDF, image or Word, up to 10 MB); downloads pass an authorization check and an always-on audit trail.

Team Readiness and the People Graph explorer show role coverage and who can cover each gap; Team Builder turns a pasted project brief into a proposed team and its gaps. Expiry dashboards at 7, 30 and 90 days feed configurable email and in-app alerts. Five optional rules — all off until an admin opts in — decide whether a credential that lapses before the shift date, one a board revoked, an unverified claim, or a licence from another jurisdiction still counts toward a shift requirement, and whether a missing credential blocks clock-in. Exclusion matches wait in a review queue for a human to confirm identity; registry verification and screening run through a pluggable provider integration. An Ask AI agent answers skills, gap and renewal questions.

See how Skills & Credentials maps people, roles, and skills into a live readiness view, tracks certifications and licenses as dated validity periods with expiry alerts and manager verification, and feeds shift eligibility so only qualified employees are scheduled.

Use cases

Certification renewal tracking
HR watches dashboards of certifications expiring within 7, 30, and 90 days; the system emails and notifies the employee, their manager, and admins on a configurable lead time before each deadline.
Role coverage and readiness
A manager opens Team Readiness to see which role-required skills are under-covered, who can cover each gap, and which at-risk employees also carry skill gaps — then assigns the missing qualifications.
Staffing a project from a brief
A manager pastes a project description or RFP into Team Builder; the AI extracts the required skills, proposes a team from the existing workforce, and lists the gaps the project would expose.
Manager skill verification
An employee adds a skill or certification and it stays unverified until their manager reviews it from the team view; updating a verified credential automatically resets it for re-approval.
Point-in-time compliance audit
After an incident, an admin runs the reports 'as-of' a date to confirm exactly which employees held a current, valid certification on that day using the period history.
Compliance document capture
An employee uploads a safety license or professional credential (PDF, image, or Word, up to 10 MB); required-document skills can be blocked from counting until the file is attached.

FAQ

It requires a license and is opt-in per tenant — an administrator enables it for your business from the Apps Marketplace, and it is disabled by default until then. Contact your MangoApps administrator about turning it on for your organization.

Yes. Managers get a Team Skills view of their reports' skills and proficiency, plus a Workforce Readiness Graph with a People Graph explorer and a Team Readiness dashboard that shows role coverage, who can cover each under-covered skill, and where skill gaps overlap with at-risk employees. Admins also get organization-wide reports and expiry dashboards.

An Ask AI agent answers questions about skills, certifications, expiring credentials, role requirements, gap analysis, and renewal timing in chat. Team Builder takes a written project brief or RFP and proposes a team from your existing workforce while flagging the gaps it exposes. The app can also run an autonomous loop that proposes expiry and gap-closure actions every 15 minutes, which require approval by default.

Skills & Credentials is the system of record — the catalog, the skills matrix, certification lifecycle, and readiness graph. Training (LMS) delivers courses, and Practice Hub runs skill practice and assessments; when an employee completes a course or passes a practice check, those apps write the resulting skill or certification back into Skills & Credentials automatically. You manage the credentials here; you earn them there.

Five enforcement rules, each off until an administrator turns it on, so installing the app changes nothing about scheduling until you opt in. They decide whether a credential must still be valid on the date the shift runs rather than today, whether one a licensing body revoked stops counting immediately, whether only manager-verified credentials satisfy a requirement, whether a licence must match the work location's jurisdiction, and whether a missing credential blocks clock-in. Shift claiming, assignment validation and match scoring all read the same rules, so a change lands everywhere at once.

Scanned licences and certificates are served through the app rather than as direct file links, so every download is authorized and recorded. Only the employee who owns the credential, an app administrator, or a manager with the team-skills view permission can open one, and every serve writes an access entry to the same audit stream as other sensitive reveals. Administrators can additionally require the viewer to re-verify their identity first — one setting, off by default.

Four ways, and most tenants use all of them. Employees claim their own skills and record certifications from My Skills, where they can also renew a credential and attach evidence. Administrators bulk-load with a CSV import matched on email, user ID, username or external employee ID, or batch-assign a skill to everyone in a role type. Training and Practice Hub write completed courses and passed checks back automatically. And skill inference scores candidates from work signals, routing anything below your confidence floor to a manager review queue.

The employee side does. On mobile an employee sees their own skills and certifications with expiring-soon and expired banners, and can add, edit, renew and remove them, including uploading a replacement document. Managers get a read-only team credentials summary. The administrator surfaces — the catalog, assignments, reports, expiry dashboards, the verification, bonus and inference queues, and settings — are desktop views; they work in a phone browser but are not phone-optimized.
