RFP Desk Reference Library — cited answers and source document mining for RFP responses

RFP Desk now includes a reference library where admins can upload the source documents — pricing sheets, capability summaries, compliance certifications, and any other files the team relies on — that underpin approved answers. When a requirement has no matching library entry, the AI mines the uploaded documents directly and cites the source in the response. Each citation names the specific document and section, so reviewers can verify the answer without hunting for the original file. Partial coverage is handled gracefully: a multi-part question gets a full answer for every covered point and clearly names any part that still needs human input, rather than refusing the whole question.

Use case: A bid manager uploads a security compliance PDF that hasn't been broken into individual answer entries yet. When an RFP arrives with a data-residency question, the AI finds and quotes the relevant clause from the PDF and cites it by document and section in the draft response.

Job Board Rejection Email Templates — customizable candidate rejection emails with merge fields

Businesses can now build a library of rejection email templates in Job Board settings, each with a subject, body, and merge fields for the candidate's name, the job title, location, company, and recruiter. One template is designated the default and is used for automatic rejections (bulk reject and AI-driven rejections); others are available in a picker when a recruiter sends manually. Before the email goes out, a drawer shows the message pre-personalized for the specific candidate, with every word editable — what the recruiter sees is exactly what the candidate receives. Businesses that have not created any templates continue to receive the built-in wording unchanged.

Use case: A recruiting coordinator needs to send a post-interview rejection to a candidate who progressed through two rounds. They select the "after interview" template, adjust one sentence to acknowledge the candidate's specific background, and send — all without leaving the applicant card.

Contracts: AI Form Fill from Uploaded Document — pre-fill new contract fields from a PDF or DOCX upload

Creating a new contract now starts with uploading the document. Once a file is selected, the AI extracts the counterparty name, dates, values, and any tenant-configured custom fields, and fills in the form automatically. Filled fields are visually marked so reviewers know exactly which values came from extraction and which still need a human check — the highlight clears the moment a field is edited. Counterparty resolution matches the extracted name against the tenant's vendor and customer records, stripping legal suffixes so "Acme Corp." finds "Acme" without requiring an exact match. The same extraction applies to bulk contract uploads.

Use case: A legal operations analyst uploads a signed MSA. The form populates with the vendor name, effective date, and renewal terms pulled from the document, saving several minutes of manual entry and reducing the risk of transcription errors on high-value contracts.
