Forms: Scheduled Assignments & Approval Workflows — automated form distribution and multi-step approval for employee forms
Forms now supports three major workflow capabilities that were previously unavailable. Scheduled form assignments let admins define a recurring rule so a form automatically goes out to a defined audience on a set cadence — eliminating manual redistribution for weekly safety checks, monthly compliance attestations, or periodic surveys. Multi-step approval workflows allow a submitted form to travel through one or more designated reviewers before it is considered complete, with each stage tracked and auditable. Respondent receipt emails give submitters an automatic copy of their completed entry, reducing "did my submission go through?" support requests.
Use case: A safety manager sets a recurring daily equipment inspection form that auto-assigns each morning shift — technicians fill it out, a supervisor approves, and each technician gets a confirmation email, all without manual intervention.
Available in: Forms → Form Settings → Schedule / Approval Workflow
Ballots: Ask AI Integration — vote, view results, and manage polls through the Ask AI sidebar
The Ask AI sidebar can now interact directly with Ballots. Members can ask about pending votes, see live or closed results, cast or change a vote, and create a draft ballot — all without navigating away from whatever they were doing. The integration respects all existing eligibility rules, voting windows, and result-visibility settings, so asking "show me the results of the Q3 budget vote" only surfaces what the member is already permitted to see.
Use case: An employee working in the Workspaces app notices an Ask AI nudge about an open ballot, casts their vote from the sidebar in seconds, and gets back to their task without opening a separate tab.
Available in: Ballots → Ask AI sidebar (enable via Ballots Settings → AI Agent)
Password Manager: External Secure-Share Links — share credentials securely with users outside MangoApps
Team passwords and credentials can now be shared with vendors, contractors, or other external parties who do not have a MangoApps account. Each share generates a tokenized link with configurable expiry; the secret is revealed only once via an explicit confirmation step and then permanently destroyed. Link-preview bots and social crawlers cannot trigger the reveal — only an intentional user action does. The feature is disabled by default and requires an admin to opt in via Password Manager settings, with all activity logged for audit purposes.
Use case: An IT admin needs to hand off a shared service account password to a third-party contractor — they generate a one-time link, send it, and the password is gone from the link the moment the contractor views it.
Available in: Password Manager → Credential → Share Externally (admin opt-in required)
