FAQ
It requires a license and is opt-in per tenant — an administrator enables it for your business from the Apps Marketplace, and it stays disabled until then. The optional modules (Pricebook Pro, Fleet Pro, Customer Portal, GPS & Routing, Accounting Sync) are toggled on per business in the app's Settings.
Pricebook Pro (versioned service catalog with margin analysis), Fleet Pro (vehicles, maintenance, inspections), Customer Portal (magic-link self-service), GPS & Routing (live technician map and route plans), and Accounting Sync (QuickBooks/Xero). Each is a separate toggle in Settings, so you turn on only what you use.
You can record payments manually in any method — card, debit, ACH, cash, check, or financing — against an invoice. If you enable Online Payments, you connect your own Stripe account, and card payments made through Stripe are auto-recorded on the matching invoice with the balance updated automatically.
Yes. Field Service Suite has mobile-optimized web views for work orders, estimates, invoices, fleet, and service agreements, and fleet inspections can be completed on a phone. Photo/video attachments and the customer signature are captured on the work-order page. Note there is no offline mode — the mobile views require a connection.
Yes. With the Accounting Sync module and a connected accounting integration (via Merge.dev), you can push invoices and payments to QuickBooks or Xero. Each sync is tracked with a per-record status and history so you can see what synced and retry failures.
Service agreements track billing frequency (monthly, quarterly, semi-annual, or annual), contract start/end dates, the next billing date, and a list of scheduled visits. Today, the work orders and invoices for those visits are created manually — the agreement is the tracking record, not an automated generator.
The Ask AI field service agent can search and summarize work orders, customers, estimates, invoices, and pricebook items; recommend which technician to dispatch (ranked by workload and job-type experience); surface work-order cost, duration, and risk insights; suggest pricing from your active pricebook; and take write actions with confirmation, such as creating work orders and estimates, assigning technicians, and generating invoices. An administrator can disable AI features per business.
AI Front Office is the customer-facing front desk: an AI receptionist that handles inbound chat, SMS, and voice, qualifies the request, and books the appointment. Field Service Suite is the operations system that runs the job once it's booked — work orders, dispatch, estimates, invoicing, and agreements. When a booking is approved in AI Front Office it hands the work off to Field Service Suite as a work order, and Field Service Suite reports lifecycle outcomes (dispatched, completed, invoiced, paid) back for attribution.
