SOP Hub AI
Live SOPs with AI summaries and multilingual translation.
Overview
MangoApps SOP Hub turns a procedure into steps someone can actually follow at the workstation, not a PDF nobody opens. Each step carries its own instructions, a time estimate, and an optional supervisor sign-off, and a QR code posted at the equipment opens the right procedure on a phone.
It tracks who has completed each SOP, re-opens it automatically on a schedule or whenever the steps change, and reminds people who fall behind. Offline mode keeps procedures readable and completions recorded when a connection drops, syncing once it's back online.
Ask AI drafts a first version from a plain-language description or an uploaded PDF or Word document, so authors start from something instead of a blank page — a person still reviews and publishes it. Procedures can be translated into 15 languages, bundled into a branded procedure manual, and linked to specific equipment through Asset Pro.
Author step-by-step procedures with time estimates and supervisor sign-off, assign them for mandatory completion with automatic re-certification, and open the right procedure at the machine from a posted QR code.

Versioning & Change Control
-
Automatic version snapshot on every edit to a published SOP
-
Full version history with author and change reason
-
Side-by-side version comparison with a rendered diff
-
Draft → Published lifecycle, with Archived and Retired withdrawal states Archived is a reversible pause — reactivate an archived SOP back to draft and re-publish it. Retired is a permanent withdrawal: the procedure leaves the published set so it can never be assigned or completed again, its completion records are kept for audit history, and it can no longer be deleted. A retired SOP can also be reactivated as a draft if it was withdrawn by mistake.
-
Unpublish back to draft without losing version history
Completion & Re-Certification
-
Assign SOPs for mandatory completion tracking
-
Step-by-step completion with live progress percentage
-
Supervisor verification of employee completions
-
Configurable re-certification (validity) period per SOP
-
Automatic re-completion trigger when SOP steps change
-
Overdue detection with capped automated email reminders
-
Five capture methods: self, supervised, QR scan, training, offline
-
Compliance report with per-SOP completion rates and CSV export
-
Read-and-understood attestation before a completion can be submitted Optional per SOP. The employee must tick "I have read and understood this procedure" before the completion can be submitted, and the attestation is stored with its timestamp, IP address, and device against the SOP version they completed.

Semantic (meaning-based) SOP search powered by embeddings
Integrations
-
Training Connect — require a course before an SOP can be started or completed Linked from the SOP page by an HR or app administrator, and enforced server-side on every completion surface — desktop, mobile, and QR scan.
-
Training Connect — auto-verify an SOP completion when the linked course finishes Applies to SOPs set to require supervisor verification: finishing the prerequisite course verifies a completion the employee has already submitted.
-
Training Connect — credit an SOP completion toward a linked course The credit is recorded on the employee's enrollment record for that course; it does not mark the course itself complete.
-
Asset Pro — attach SOPs to a specific asset or asset category
-
Microsoft Word add-in — search and insert published SOPs while authoring in Word

FAQ
Each SOP is a sequence of steps, and every step carries its own instructions, an optional time estimate, and an image or video link. Any step can be flagged for verification so a supervisor must sign off before it counts as done. SOPs also carry a type (14 are available, from safety to food safety), a category, a difficulty level, tags, and applicable-role labels for discovery, and the per-step time estimates roll up automatically into a total duration.
An SOP is a single procedure with step-by-step instructions and its own completion tracking. A procedure manual bundles multiple SOPs — plus chapter headers and custom sections — into one published, browsable guide with a table of contents that you can export to a branded PDF or share at a public URL.
Mark an SOP as requiring completion and it is assigned to its target audience. Employees complete it step by step, and you can require supervisor verification. Set a validity period to have completions re-open on a schedule, and whenever you edit a published SOP's steps, everyone who already completed it is automatically flagged for re-completion. Overdue completions receive automated reminders, capped at five per person.
Every SOP has a unique QR code you can download as a PNG or SVG and post near equipment or on signage. Scanning it opens the procedure instantly. With offline mode enabled, SOPs are cached on the device so workers can read them and record step completions without connectivity — the data syncs when they reconnect.
Yes. SOP Hub can AI-translate a procedure into 15 languages, including its steps, and you can bulk-translate into several languages at once. AI translations carry a quality score, and a human can review and verify them. If you later change the source SOP, its translations are flagged as stale so they can be refreshed.
Through Asset Pro, yes — attach an SOP to a specific asset or an entire asset category, and anyone viewing that asset sees its linked procedures and completion status. SOPs also link to Training Connect courses from the SOP page: require a course before the SOP can be started or completed, recommend one alongside it, or credit the SOP completion toward the course. When a required course is finished it also verifies a completion that was waiting on supervisor sign-off. A Microsoft Word add-in lets authors search for and insert published SOPs while writing in Word.
SOP Hub requires a license and is opt-in per tenant — an administrator enables it for your business from the Apps Marketplace, and it is disabled by default until then. Contact your MangoApps administrator about turning it on for your organization.
The difference is what the artifact is and what the worker does with it. SOP Hub is for operational how-to procedures: step-by-step instructions people execute at the workstation, with per-step completion, supervisor verification, QR access, and re-certification. Policy Hub is for policy documents people read and acknowledge, with handbooks, jurisdiction scoping, and acknowledgment campaigns. Both can require an attestation — SOP Hub records a read-and-understood attestation on completion when you turn it on for an SOP — so use SOP Hub when someone has to perform steps and you need evidence the steps were done, and Policy Hub when someone has to read a document and you need evidence it was read.
