Steps

The study owner defines the product, batch numbers, dosage form, intended storage conditions, and the decision point the study must support, such as shelf life or retest period assignment. The study owner records whether the protocol covers long-term, intermediate, accelerated, or stress conditions.
The study owner assigns the protocol author, QC analyst, stability chamber owner, QA reviewer, and approver. The study owner confirms that each role is a competent person for the assigned task.
The study owner defines the target storage conditions, including temperature and relative humidity where applicable, and lists each pull point on the study schedule. The study owner includes accelerated storage conditions when required and documents the acceptance tolerance for each chamber setpoint.
The stability chamber owner verifies that the chamber is qualified, calibrated, and within the defined temperature and humidity tolerance before samples are loaded. The stability chamber owner records the latest monitoring review and any active deviation.
The QC analyst prepares the required sample quantity for each batch, condition, and time point. The QC analyst labels each container with the study ID, batch number, storage condition, pull date, and unique sample identifier.
The stability chamber owner places each sample into the correct chamber or storage unit according to the approved protocol. The stability chamber owner records the load date, time, and location for each sample set.
The QC analyst retrieves the designated samples at the approved time point and confirms the sample identity against the schedule before testing. The QC analyst records any delay, missing sample, or handling issue as a deviation.
The QC analyst performs the required analytical tests using approved, validated methods and records the raw data in the controlled system. The QC analyst includes all required attributes for the study, such as assay, impurities, appearance, moisture, dissolution, or other protocol-defined parameters.
The QA reviewer compares the results to the protocol acceptance criteria, trend expectations, and any predefined alert or action limits. The QA reviewer determines whether any out-of-trend result, excursion, or non-conformance requires escalation.
The study owner documents any chamber excursion, missed pull point, sample mix-up, analytical failure, or protocol deviation in the controlled record. The study owner assigns the deviation to the appropriate investigation path and records the immediate containment action.
The study owner compiles the protocol, raw data, test results, deviations, and trend analysis into a controlled summary. The study owner states whether the data support the proposed shelf life or retest period and identifies any remaining data gaps or follow-up actions.
The QA approver reviews the completed stability package for completeness, data integrity, and documented justification before approval. The QA approver authorizes archiving of the controlled record in accordance with document retention requirements.
