Traveler EMR Access Verification

Verifies that a traveling clinician has the correct EMR role assignment, required training completion, and an active login before the first patient care assignment.

Traveler Identity and Assignment Readiness

• Traveler identity and assignment details are confirmed
  Verify the clinician's name, role, unit/department, and start date match the approved assignment record.
• Patient care assignment has not started before EMR access verification
  Confirm this verification is completed before the first patient care assignment or charting activity.
• Appropriate supervisor or onboarding owner is identified
  Record the manager, educator, or onboarding coordinator responsible for approving access readiness.

EMR Role Assignment and Access Provisioning

• EMR role assignment matches job function
  Verify the assigned EMR role grants only the access needed for the traveler’s approved clinical duties.
• Required unit, location, and encounter access is enabled
  Confirm access includes the correct facility, unit, and patient charting areas needed for the assignment.
• Restricted functions are not over-assigned
  Confirm the traveler does not have unnecessary privileges such as admin, billing, security, or order-entry access beyond scope.
• Access provisioning date and approver are documented
  Record when access was granted and who approved the role assignment.

Training and Competency Completion

• Required EMR training is completed
  Confirm completion of all required EMR training modules for the assigned role and facility.
• Privacy and security training is completed
  Verify completion of HIPAA/privacy, password, and secure access training required before charting in the EMR.
• Training completion date is documented
  Record the date the traveler completed the required EMR and privacy/security training.
• Competency validation or attestation is on file
  Confirm there is evidence of competency validation, attestation, or sign-off for the assigned EMR workflow.

Active Login and Functional Access Test

• Traveler can successfully log in to the EMR
  Perform a live login test using the traveler’s credentials to confirm the account is active.
• Password reset or MFA workflow is working if applicable
  Confirm the traveler can complete any required password reset, MFA, or second-factor authentication process.
• User can open the correct patient chart and chart a test note or dummy entry if permitted
  Verify the account can access the expected charting workflow without unauthorized error messages or access blocks.
• Any access errors are documented
  Record login failures, permission errors, or other defects that prevent normal EMR use.

Release to Patient Care

• Traveler is cleared for first patient care assignment
  Confirm all required access, training, and login checks are complete before release to patient care.
• Outstanding deficiencies have an assigned corrective action owner
  If any deficiency exists, document the owner responsible for remediation and the expected completion date.
• Inspector signature
  Signature of the person verifying EMR access readiness.
