Beta Program Operations SOP
Standard operating procedure for managing a beta program, including participant selection, onboarding, feedback collection, issue tracking, and graduation.
Steps

Define the beta cohort
The program manager reviews the beta objectives and confirms the participant profile, sample size, and selection criteria. The program manager excludes any candidate that does not meet the eligibility criteria or that would create a conflict of interest. Record the final cohort list in the program dashboard.

Verify participant readiness
The program manager verifies that each selected participant has a valid contact method, understands the beta purpose, and has the required access or environment to participate. If a participant lacks access, the program manager escalates the gap to the owner of the dependent system before onboarding continues.

Onboard the participant
The program manager sends the onboarding package to each participant. The package includes the beta purpose, scope, expected participation window, feedback method, issue reporting method, response time expectations, and any confidentiality or usage terms. The program manager asks the participant to acknowledge receipt before granting beta access.

Collect and log feedback
The program manager collects feedback at the scheduled cadence and logs each item with the participant identifier, date, feature or workflow reference, severity, and summary. The program manager separates enhancement requests from defects so the team can route each item correctly.

Triage issues and escalate blockers
The QA lead reviews each new issue and classifies it by severity, impact, reproducibility, and workaround availability. The QA lead assigns an owner and target resolution date. If the issue blocks participation, affects safety, or exceeds the agreed tolerance, the QA lead escalates it to the program sponsor and product owner immediately.

Escalate critical non-conformance
The program manager documents the non-conformance, notifies the sponsor, and pauses any affected beta activity until the owner confirms the corrective action plan. The program manager records the escalation timestamp, decision, and interim participant communication.

Monitor participation and progress
The program manager reviews participation status, response rates, open issues, and feedback trends at the agreed cadence. The program manager follows up with inactive participants and records any deviations from the planned schedule. The program manager updates stakeholders on progress and risks.

Graduate the participant
The program manager confirms that graduation criteria are met, including required feedback received, critical issues resolved or accepted, and no open blockers remain for the participant. The program manager notifies the participant of graduation, revokes beta-specific access if applicable, and archives the participant record according to retention requirements.
