FAQ

Two ways: a visitor can scan their badge QR at an unattended kiosk or tablet to self check in, or reception can check them in from the desktop dashboard or on mobile. Either path records the actual arrival time, notifies the host, and re-screens the visitor against the watchlist.

Yes. An administrator enables the public self-registration portal (it is off by default). When enabled, a guest opens the registration link, enters their details, and picks their host; the host is notified and the visit enters the normal approval flow. An inactive badge is created and activated on approval.

Hosts get in-app and email alerts when their visitor is registered, arrives, and departs, plus an overdue-checkout alert if a guest stays past the expected departure. Urgent alerts can also go by SMS. Each host controls their own channels, quiet hours, and away mode in Host Preferences.

You maintain a watchlist of flagged people with a risk level (low, medium, high, critical) and optional expiry. Visitors are matched by name, email, or phone at both approval and check-in. A match blocks the action — and at a self-service kiosk the visitor only sees a generic 'contact reception' message, never that they were flagged.

Every approved visitor gets a QR-code digital badge. You can download the QR image as PNG or SVG, print a badge PDF, or add the pass to Apple Wallet (.pkpass). Google Wallet is not yet supported. Badges expire after a configurable window (24 hours by default) and can be revoked, reactivated, or regenerated individually or in bulk.

Guest Pass is pay-as-you-go: it is available to every tenant with no license to purchase and no per-seat fee, and you are billed per visitor check-in. Turning it on in the Apps Marketplace costs nothing until visitors actually start checking in.

A single registration can cover a party of up to 50. Badges carry access tiers from 1 to 10 by visitor type and expire after an admin-configurable window (24 hours by default). Visitor records move through pending, approved, rejected, checked_in, checked_out, expired, and cancelled statuses, and a retention job automatically purges old visitor data on the schedule your administrator sets.

Bookings reserves rooms, desks, and workspaces. When a booking includes external guests, it hands those guests off to Guest Pass — creating a Guest Pass visitor record — so they flow through the full check-in, badge, watchlist, and host-notification workflow. Guest Pass is the system of record for who is on-site; Bookings is the reservation that can originate the visit.
