Overview
Credentials & Licenses is a working MangoApps register for licenses, certifications, registrations, and insurance records tied to a specific holder. Managers and admins add records with the Credential, Holder, Category, State, Payer, Status, Issued, Expires, and Notes fields. Required fields are Credential, Holder, Category, Status, and Expires, so each active record has an identifiable owner, a type, a lifecycle state, and a date for renewal planning.
The app is built for payer and licensure operations. Its Expiring in 60 days view shows records whose Expires date is within the next 60 days while Status remains Active. In renewal isolates records marked In renewal, and Recently expired shows expired records from the last 365 days. The Overview screen provides metric and card views, the Renewal calendar places expiry dates on a calendar, and the Register screen provides the full grid and action bar.
Use this template when a clinical operations team needs a controlled, shared place to review credential dates and follow renewal work. It is not intended for training completion, continuing-education tracking, or as the authoritative licensing-board or payer system. It also does not replace verification, renewal submission, or insurer documentation. Records are editable and deletable by authorized managers and admins, so establish a correction and retention procedure before rollout.

How to use this template
- Add the Credentials & Licenses app from the template to your MangoApps workspace and confirm the app owner who will receive renewal notifications.
- Decide which managers and admins can add, edit, or delete records, while using the Holder field to assign each credential to the relevant person.
- Create one record per license, certification, registration, or insurance item and enter its Credential, Holder, Category, Status, Expires date, and any available State, Payer, Issued, or Notes details.
- Review the Overview screen and Renewal calendar, then open Expiring in 60 days and In renewal to prioritize records that need verification or submission.
- Use the Monday 08:00 Weekly renewal list digest, titled Credentials expiring soon, to assign follow-up and change Status to In renewal when work starts.
- When renewal is confirmed or a credential expires, update the record fields and status so it leaves the active queue or appears in Recently expired, while the Credential expired automation alerts the app owner after a field change.
Best practices
- Create a separate record for each credential and holder instead of combining several licenses or policies in one Notes field.
- Enter the authoritative Expires date and review it against the licensing board, payer, or insurer record before marking a credential Active.
- Use State and Payer consistently, including a defined naming convention for multi-state and payer-specific records.
- Change Status to In renewal as soon as renewal work begins so the item appears in the dedicated follow-up view.
- Keep Notes focused on actionable renewal context, such as missing documentation, submission date, or verification owner, rather than duplicating the full external record.
- Review Recently expired regularly instead of deleting expired records immediately, because the history can reveal unresolved renewal work.
- Do not leave an old expiry date paired with Active status after renewal; update the date and status together when the new credential is confirmed.
- Limit data entry to trained managers and admins and periodically check Holder assignments so the Monday digest reaches the person responsible for action.

Each record includes a required Credential, Holder, Category, Status, and Expires date, with optional State, Payer, Issued, and Notes fields. It is designed for payer and licensure operations, not employee training certificates.
Who can add and maintain records?
Only managers and admins add records in this app, which helps keep regulated credential data controlled. They can also edit or delete records when information changes or a duplicate must be removed. Holders are selected in the Holder user field but do not automatically become data-entry owners.
How often does the renewal review run?
The Weekly renewal list automation runs every Monday at 08:00. It checks the Expiring in 60 days view and sends an AI summary digest titled Credentials expiring soon to the app owner. Managers can also review the Renewal calendar and In renewal view at any time.
Does this replace a licensing or regulatory system of record?
No. It is an operational register for organizing credential status, ownership, dates, state, and payer details. Use your licensing board, payer portal, insurer, or other authoritative source for verification and submission, and define retention and access rules that match your organization’s policy.
What happens when a credential expires?
Change the Status field to Expired when the credential is no longer current. The Credential expired automation then notifies the app owner when a field changes. The record can be reviewed in Recently expired, which covers expired credentials from the last 365 days.
Can we track a credential that is being renewed?
Yes. Set Status to In renewal while the renewal is in progress, and the record appears in the In renewal saved view. Keep the existing Expires date until the authoritative renewal is confirmed, then update the status and dates together. Use Notes for process context that managers need to follow up.
Can the fields and categories be customized?
The template can be tailored in your MangoApps workspace to match your operating process. The starting Category options are License, Certification, Registration, and Insurance, while Status starts with Active, In renewal, and Expired. Confirm any changes to required fields and saved-view filters before rollout so reminders still capture the right records.
Can this connect to a payer portal or licensing board?
The supplied template includes the register, saved views, screens, and the two described automations; it does not promise a licensing-board or payer-portal integration. Record the State and Payer directly in the app and use Notes for relevant operational context. Verify external records in their authoritative systems.
