Overview

Waste & Spoilage Log is a working register for recording what a store throws away and why. Every member can add a record with the required Item, Category, Reason, Quantity and Logged on fields, while Unit, Cost, Notes and Photo add the detail needed for stock and operations reviews. Logged by identifies the person who entered the record. Categories cover Bakery, Chilled, Produce, Food to go, Ambient and Non-food; reasons cover Expired, Unsold, Damaged, Spillage, Recall and Other.

The register is append-only: records are never deleted, and the history of each disposal remains available for review. This makes it useful when managers need to understand whether waste came from expiry, low sell-through, handling damage or an isolated incident. The Today and This week saved views support routine checks, while Expired stock isolates one of the most actionable causes. The Today screen presents metrics and cards, the Why screen provides a chart, and Full log shows the complete grid.

Use this app when frontline staff need a shared, consistent way to log waste as it happens and managers need a weekly pattern rather than scattered notes. It is not a substitute for a formal recall, food-safety or financial record where your organization requires a separate process. It also should not be used to silently remove disputed or mistaken entries; preserve the record and explain the correction in Notes or through your approved follow-up process. How to use this template

  • Log waste at the point of disposal so Quantity, Reason and Logged on reflect what actually happened rather than an end-of-week estimate.
  • Use the standard Category and Reason options consistently instead of placing comparable causes in free-text Notes.
  • Enter Cost when it is known so the weekly review can distinguish frequent low-value waste from less frequent high-cost losses.
  • Add a Photo for visible damage, spillage or packaging problems when the image will help explain the record later.
