Overview
The Volunteer Log is a working roster app for recording who volunteers with your organization, what role they perform, whether they are currently active, when they joined, and how many hours they have contributed. Each record includes Volunteer, Email, Role, Status, Hours, Joined, and Notes fields. Role options are Event support, Front desk, Outreach, Coaching, and Driver; Status options are Active and Inactive.
Only managers and admins add records, and they can edit or delete them when information changes. The Active saved view gives coordinators a current participation list, while Joined this month helps identify recent additions for onboarding or follow-up. The Overview screen presents metrics and cards for a quick read, and the Roster screen provides the full grid with an action bar.
Use this template when one team needs a dependable shared register for volunteer coordination and hours tracking. The New volunteer automation notifies the app owner whenever a record is added, creating a prompt to verify the new entry. This is not a shift scheduler, time clock, background-check register, or replacement for safeguarding and consent records. It also should not be used to store sensitive personal information that is unnecessary for coordinating volunteers.

How to use this template
- Add the Volunteer Log template to your MangoApps workspace and review the Volunteer, Email, Role, Status, Hours, Joined, and Notes fields with the managers and admins who will maintain the roster.
- Decide which managers and admins are responsible for data entry, since only those roles add records while the roster is kept under controlled ownership.
- Create one record for each volunteer by entering the person's name, selecting Event support, Front desk, Outreach, Coaching, or Driver, setting Status to Active or Inactive, and completing Joined, Hours, Email, and Notes where appropriate.
- Use the Active saved view for the current roster and Joined this month for recent additions, then open the Overview or Roster screen when you need metrics, cards, a full grid, or record actions.
- When a new record is added, follow the New volunteer notification sent to the app owner and verify the volunteer's role, status, joined date, and onboarding notes.
- Update Hours and Notes as participation changes and switch Status to Inactive when someone stops volunteering, preserving the record for future reference instead of treating an outdated active roster as current.
Best practices
- Enter one volunteer per record so the Active and Joined this month views remain accurate.
- Set Status to Inactive promptly when a volunteer leaves or pauses instead of deleting the person from the roster.
- Use the controlled Role options consistently rather than placing alternate role names in Notes.
- Record Hours on a defined schedule agreed by the volunteer coordinator so totals are comparable across people.
- Complete Joined for every new volunteer because the Joined this month view depends on that date.
- Use Email for coordination contact details and keep sensitive information out of Notes.
