Overview
The Tool & Ladder Register is a working MangoApps app for equipment that must be inspected on a cycle. Managers and admins create records for ladders, harnesses, power tools, test equipment, lifting gear and other items, then maintain the Tool, Asset tag, Type, Kept at, Responsible for it, Last inspected, Next inspection, Status and Notes fields. Each record shows what the item is, where it is kept, who is responsible for it and whether it can currently be used.
The register is designed around four operational statuses: In service, Inspection overdue, Out of service and Scrapped. The saved views separate usable equipment from items needing attention: In service, Inspection within 30 days, Inspection overdue and Out of service. The Overview screen provides a metric row and board, the Inspections screen combines a calendar with cards, and the Full register screen provides the complete grid for controlled review.
Use it when equipment has recurring inspection dates and more than one person needs a dependable current list. It is especially useful when a spreadsheet makes upcoming dates easy to miss or when clipboard records do not show who is responsible for an item. It is not an inspection method, a replacement for competent inspection, or a full maintenance work-order system. It also should not be used to mark equipment safe without completing the required inspection procedure.

Best practices
- Give every identifiable item a consistent Asset tag and record one item per record so inspection history is not mixed across a group of tools.
- Enter the actual Next inspection date required by your procedure and avoid using a generic date for an entire equipment category.
- Change Status to Inspection overdue as soon as the Next inspection date passes instead of leaving the item in In service.
- Use Notes to record the reason for an Out of service or Scrapped status, including the action needed to prevent accidental reuse.
- Keep Kept at and Responsible for it current after transfers so a reviewer can locate the equipment and identify the accountable person.
- Review the Inspection within 30 days view during planning and use the Inspection overdue view before equipment is issued for work.
- Restrict record creation to managers and admins, and agree a named owner for handling the out-of-service notification.
- Do not treat a blank Last inspected field as proof that an item is new or safe; resolve missing inspection history before changing the item to In service.

The Weekly inspection list runs every Monday at 07:30 and sends the app owner an AI summary digest called Tools due for inspection. Managers should also check the Inspection overdue and Out of service views whenever equipment is being issued or prepared for work. Set Next inspection to the actual required date rather than relying only on a recurring calendar reminder.
Does this replace an inspection procedure or statutory record?
No. It records the equipment identity, inspection dates and current status; it does not define how an inspection must be performed or replace a competent person's findings. Use it alongside your written inspection procedure and applicable employer record-keeping expectations for workplace equipment.
What happens when equipment is taken out of service?
Change Status to Out of service and add the reason or relevant detail in Notes. The Tool taken out of service automation notifies the app owner when a field changes, creating an immediate prompt to control access and arrange repair, quarantine or disposal. Do not leave an unusable item marked In service while waiting for paperwork.
Can the register be customized for our equipment program?
Yes. The template can be adapted in your MangoApps workspace to reflect your terminology, locations, ownership rules and review process. Keep the required Tool, Type, Next inspection and Status fields intact unless you have a documented replacement, because the saved views and automations depend on those values.
