Overview
Equipment Loans is a working MangoApps mini app for recording equipment requests, active loans, returns, and declined requests. Each record captures the Purpose, Item, Asset tag, Borrowed by, Borrowed on, Due back, Status, Value, and Condition note. The Item reference connects the loan to the equipment register, while the Asset tag lookup helps identify the physical item.
Use it whenever equipment moves between a team, employee, contractor, or work area and someone needs to know who has it and when it should come back. Every member can add records, and records can be edited or deleted, so the rollout should establish who enters requests, who confirms handover, and who reviews changes. The register keeps the loan record available across its lifecycle instead of requiring a new spreadsheet row for every follow-up.
The On loan, Due back this week, Overdue, and Awaiting sign-off views support daily administration. The Today screen provides a metric row, board, and action bar; Equipment shows cards and a grid; Due back combines a calendar with cards; and All loans provides the full grid. High-value loan sign-off requests approval from the owner when a record is added, while the 08:00 Daily overdue round-up sends the owner a digest titled Equipment still out. Do not use this app as a substitute for a dedicated inventory, maintenance, or financial asset system when those systems require depreciation, repair history, or controlled audit retention.

What does the Equipment Loans template track?

How are high-value loans approved?
When a record is added, the High-value loan sign-off automation requests approval from the owner. Use the Value field consistently so the owner can assess higher-cost equipment before it leaves custody. The template does not automatically define a value threshold, so confirm that approval rule during setup.
What happens when equipment is returned?
Change the loan Status to Returned and use the Returned → dates cleared automation to update the record fields. Confirm that the returned date or other required return information is captured according to your local process before dates are cleared. Keep the record rather than deleting it when the equipment comes back.
Can this replace a spreadsheet or clipboard sign-out sheet?
Yes, it provides a working register in your MangoApps workspace with typed fields, saved views, screens, and automations. Unlike a basic sign-out sheet, it separates Requested, On loan, Returned, and Declined records and highlights due dates.
