Overview

Temperature Log is a working MangoApps app for recording temperatures across Fridge, Freezer, Hot hold and Ambient store units. Every member can add a record, which makes it suitable for the staff member who is physically checking equipment rather than a manager transcribing paper notes later. Required fields are Unit, Unit type, Reading (°C), Checked on and Result; Location, Checked by, Action taken and Photo add operational context.

The register is append-only: records are never deleted. That preserves the original reading and creates a dependable history when a supervisor reviews a missed check, an equipment problem or a corrective action. Staff select In range or Out of range, describe what they did in Action taken, and can attach a Photo of the display or condition. When a new record is added, the Out-of-range alert notifies the app owner.

Use the Today screen for current checks, the This week screen for trend and completion review, and the Full log screen for the complete grid. The Out of range, Checked today and This week saved views narrow the register to the work needing attention. This template is not a substitute for calibrated equipment, an approved food-safety plan, or defined limits for each unit; it is the operational record that helps your team apply those rules consistently. See it in a demo before rolling it out across locations.

Standards & compliance context

  • The register can support food-safety monitoring and record-keeping expectations by preserving readings, dates, checkers and corrective actions in an append-only history.
  • Define acceptable temperature limits and checking frequency in your approved food-safety procedure because this template does not prescribe limits for each unit type.
  • For operations subject to regulatory inspection, retain and review the log according to your applicable food-safety program and local authority expectations.
  • Use the Photo and Action taken fields to support evidence of corrective action, but do not treat an attachment as a replacement for the required written procedure or equipment checks.

General regulatory context for orientation only — verify current requirements with counsel or the relevant agency before relying on this template for compliance.

How to use this template

  1. Add the Temperature Log app to your MangoApps workspace and confirm which fridge, freezer, hot-hold and ambient-store units will be included.
  2. Decide that every member who performs a check can add records, and make sure the app owner is the right recipient for out-of-range notifications.
  3. At each check, enter the Unit, Location, Unit type, Reading (°C), Checked on date, Checked by user and Result, then describe the response in Action taken and attach a Photo when useful.
  4. Open the Checked today or This week saved view and use the Today screen to spot missing checks or unusual entries.
  5. When a record is marked Out of range, follow your corrective-action procedure and use the alert sent to the app owner as the prompt for review.
  6. Use the Out of range view and Full log screen to confirm the response was recorded and preserve the original entry rather than deleting it.

Best practices

  • Enter the displayed reading at the unit immediately after checking it rather than transcribing several readings later.
  • Use a consistent Unit naming convention so the same fridge or freezer does not appear under multiple names.
  • Record the exact Location and Unit type for units that are moved, shared or close together.
  • Choose Out of range whenever the reading falls outside your approved operating limit, and explain the correction fully in Action taken.
  • Attach a Photo when the display, stock condition or repair evidence will help a reviewer understand the event.
  • Review the Checked today view before the end of each shift so missed checks are corrected while the details are still available.
  • Use the Full log screen for periodic review and never delete an incorrect record; preserve the history and add a clarifying record instead.

What this template typically catches

Issues teams running this template most often surface in practice:

A reading is entered without a clear Unit name, making it impossible to tell which appliance was checked.
Staff select a unit type but omit the Location, leaving similar fridges or freezers difficult to distinguish.
An Out of range result has no explanation in Action taken, so reviewers cannot tell whether stock was moved, the unit was isolated or service was requested.
Checks are recorded days later instead of using the actual Checked on date, weakening the reliability of the monitoring history.
A paper sheet or spreadsheet contains overwritten values with no original reading preserved.
A temperature display is disputed later because no Photo was attached when visual evidence would have helped.
One unit is logged under inconsistent names, causing incomplete results in the Checked today or This week views.

Common use cases

Restaurant kitchen shift checks
Opening, mid-service and closing staff can add readings for each fridge, freezer and hot-hold unit. The manager reviews Today and responds to any Out of range alert without waiting for a paper sheet to be collected.
Catering production and dispatch
Catering teams can record temperatures across prep, holding and ambient storage areas while work moves between locations. Location and Unit fields help separate temporary or shared equipment.
Care facility food service
Dining-service staff can document checks on cold storage and hot-hold equipment, including the checker and corrective action. The Full log gives supervisors an append-only history for routine review.
School or institutional kitchen review
Kitchen leads can use Checked today to confirm daily entries and This week to identify gaps across multiple units. Photos provide supporting context when equipment displays or stock conditions require follow-up.
Facilities equipment follow-up
Facilities or maintenance staff can review repeated Out of range records, compare readings in the This week screen and coordinate service using the recorded Unit, Location and Action taken details.

Frequently asked questions

What temperature checks does this template cover?

It covers Fridge, Freezer, Hot hold and Ambient store units through the required Unit type field. Each record captures the Unit, Location, Reading (°C), Checked on date, Checked by user, Result, Action taken and an optional Photo. You set the acceptable range for your operation and mark each reading In range or Out of range.

Who can add temperature records?

Every member can add records, so the person checking a unit can log the reading at the time of the check. The Checked by field identifies the user associated with the record. The app owner receives the out-of-range alert.

How often should staff use the log?

Use it at the cadence required by your food-safety procedures, equipment instructions and local requirements. The Checked today and This week saved views make routine completion easy to review. The template does not prescribe a temperature limit or inspection schedule because those depend on your unit type and operating context.

What happens when a reading is out of range?

The user selects Out of range in Result and records the response in Action taken, such as moving stock, isolating a unit or requesting service. The Out-of-range alert automation notifies the app owner when the record is added. Use the optional Photo to document a display, product condition or completed correction.

Is this a regulated temperature record?

Temperature records may support food-safety and workplace procedures, but the template does not by itself establish compliance or replace your approved monitoring plan. Confirm required limits, retention periods, corrective actions and review responsibilities with your food-safety lead or applicable authority. Keep the register’s append-only history available for review.

Why are records append-only?

Records are never deleted because the original reading and response may matter during an inspection or incident review. If a mistake is made, add a new record or clarification rather than erasing the earlier entry. Lifecycle is tracked through the Status field, while this template’s operational outcome is captured through Result and Action taken.

Can I customize the fields and temperature ranges?

The working app can be customized after it is added to your MangoApps workspace. You can adapt labels, views or operating guidance to match your units and procedures, while retaining the core fields for Unit, Unit type, Reading (°C), Checked on, Result and Action taken. Define your acceptable ranges outside the record or in your operating instructions so staff apply them consistently.

Does it integrate with thermometers or other systems?

This template provides a working MangoApps register with typed fields, saved views, screens and an out-of-range notification. The supplied structure does not include thermometer, barcode or external-system integrations. Staff enter the displayed reading directly into the record and attach a Photo when useful.

How does this compare with a clipboard or spreadsheet?

A clipboard or spreadsheet can capture numbers, but it is easy to miss an out-of-range entry, lose the correction note or overwrite history. This app keeps an append-only record, identifies the checker, filters current work through saved views and alerts the app owner when a new record is marked Out of range. Pilot it with one area, confirm the procedure, then expand to other units.
