Overview
Fleet & Trip Log is a working vehicle sign-out and trip register added to your MangoApps workspace. Each member can create a record for a planned or active journey and connect it to a Vehicle. The linked Plate lookup keeps the registration visible without retyping it, while Driver, Date, Purpose, Status, Odometer back and Notes provide the operational details needed at handback.
Use the app whenever several people share vehicles and you need a current answer to who is using which vehicle, what it is being used for, and whether it has returned. The Out now saved view isolates records with Status set to Out. Today and This month support daily coordination and periodic review. The Today screen presents metrics and cards, Trips provides a grid of trip records, and Vehicles provides card and grid views for the fleet.
This is an appendable operational log, but its current posture allows every member to edit and delete records, so it is not an immutable audit trail. It is also not a replacement for a formal vehicle inspection, accident report, driver authorization file, mileage accounting system or maintenance scheduler. Use Notes for relevant context, keep the status current, and make Odometer back a required handback habit if mileage matters to your process. When a field changes for a vehicle entering the workshop, the Vehicle into the workshop automation notifies the app owner so the maintenance follow-up is not left only in a spreadsheet or conversation.

- Add Fleet & Trip Log to your MangoApps workspace and confirm that the linked Vehicle list contains the vehicles members will sign out.
- Decide who will maintain vehicle records and explain that every member can add, edit and delete trip records under the current posture.
- Create a trip with the required Purpose, Vehicle and Date, confirm the Plate lookup and Driver, then set Status to Planned before departure and Out when the vehicle leaves.
- Use the Out now, Today and This month saved views together with the Today, Trips and Vehicles screens to check active use, scheduled work and trip history.
- When the vehicle returns, update Status to Returned, enter Odometer back and add Notes for relevant handback details or exceptions.
- Review workshop-related field changes and respond to the Vehicle into the workshop notification sent to the app owner, then correct any stale status or incomplete return record.

- Create the record before departure with a specific Purpose rather than a vague label such as “errand.”
- Set Status to Out at the moment the driver takes the vehicle so the Out now view reflects the real fleet position.
- Enter Odometer back during the handback rather than reconstructing mileage later from memory.
- Use the linked Vehicle field instead of typing vehicle identifiers into Notes so the Plate lookup remains consistent.
- Review the Out now view at the start and end of each operating day for vehicles that were not marked Returned.
