Overview

A Calendly-class scheduling app built on the MangoApps calendar core. Employees and teams publish branded booking pages with their true availability — internal calendar, Google busy time, live Outlook free/busy, and approved leave are all respected — and external customers, candidates, vendors, or colleagues pick a genuinely-free slot at /meet/your-page. The meeting is created automatically, syncs to everyone's calendars, and confirmations and reminders go out with calendar attachments, without any back-and-forth email. Invitees can reschedule or cancel from a secure link, and every booking is double-booking-proof thanks to a live free/busy re-check at confirmation time. Teams schedule together with round-robin rotation, collective meetings where every host attends, and group sessions with seat capacity, while an optional routing question steers each invitee to the right page. Hosts fine-tune every meeting type with buffers, notice windows, daily caps, custom intake questions, and their own confirmation, reminder, and follow-up email notes, and any booking page can be embedded on an external website with a copy-paste snippet. A built-in analytics dashboard tracks booking trends, cancellations, and lead time, and the Ask AI agent answers scheduling questions conversationally. Frontline-ready: availability can be constrained to published shifts so slots are only offered when the host is actually scheduled to work.

Highlights

Publish a branded booking page at /meet/your-name in minutes — add your logo, accent color, and welcome message, and invitees book genuinely-free slots without any back-and-forth email.
Availability that tells the truth: internal calendar events, Google and Outlook busy time, and approved leave are all subtracted before a slot is ever offered, and a live free/busy re-check at confirmation makes double-booking impossible.
Every booking becomes a real MangoApps calendar event — reminders, ICS attachments, and Google/Outlook sync apply automatically.
Invitees manage themselves: secure reschedule and cancel links in every confirmation email, optional SMS reminders, and no login required.
Schedule as a team with round-robin rotation, collective panel bookings, and group sessions that keep a waitlist and email everyone the moment a seat frees up.
A frontline differentiator no competitor has: constrain availability to published shifts, so slots are only offered when the host is actually scheduled to work.

Use cases

HR office hours
Benefits, IT, and HR teams publish enrollment-consult and helpdesk pages; employees book a genuinely-free slot instead of emailing back and forth.
Manager 1:1 links
Managers share a book-time-with-me link for 1:1s and skip-levels; the meeting lands on both calendars automatically.
Customer calls
Sales and customer-success reps put their booking link in email signatures; external customers self-schedule without seeing anything but free time.
Frontline scheduling
Store and branch staff offer appointment slots only during their published shifts — availability that knows the roster.
Orientations and info sessions
Run group sessions with a seat cap and a waitlist; when someone cancels, everyone waiting is emailed and the first to rebook takes the seat.
Team demo rotation
A shared team page rotates inbound demo requests round-robin across reps, or books the whole panel at once for collective calls.

FAQ

No. Booking pages are public — external customers, candidates, and vendors book, reschedule, and cancel through secure links without logging in.

Twice. Slots are generated against the host's combined busy time (internal calendar, Google sync, approved leave), and the chosen slot is re-verified live at the moment of confirmation before the booking is saved.

Yes. Bookings are real MangoApps calendar events, so the existing Google and Outlook sync applies — the meeting appears on the host's external calendar, and external busy time blocks slots.

Yes — a booking page can be constrained to the host's published shifts so slots are only offered while they're actually scheduled to work, and never during approved leave.

No. Bookings reserves rooms, desks, and spaces; Appointment Scheduler books time with people. For in-person appointments the two work together — a confirmed appointment can auto-reserve a room.

Yes, three ways. Round-robin offers a slot when any member is free and assigns whoever was booked longest ago; collective offers a slot only when every member is free and attaches them all; group runs one host with a configurable seat count, up to 500.

Full slots stay visible and offer a waitlist instead of a booking form. If someone cancels or reschedules out, everyone waiting for that session is emailed and the first to rebook takes the seat — no auto-booking and no held seats.

Yes, with opt-in on both sides: an admin enables SMS reminders for the tenant (off by default) and the invitee supplies a phone number and ticks the reminder box when booking. The opt-in carries over if the meeting is rescheduled.

Yes. Each page takes a logo, accent color, and welcome message, and the editor provides a copy-paste iframe snippet plus an allowlist of up to 10 external domains permitted to embed it.

Appointment Scheduler is a licensed app that each tenant opts into from the Apps Marketplace — it is not enabled by default. There is no per-booking or per-invitee charge.
