Overview

Locker & Parking is a working MangoApps register for assigning physical spaces to people and checking their current availability. Managers and admins add records for lockers, parking bays, bike spaces, and desk drawers, then maintain each record through the Space, Type, Site, Area, Assigned to, Assigned on, Status, and Notes fields.

The app uses four status values to show the space lifecycle: Free, Assigned, Needs clearing, and Out of use. Its Free, Assigned, Needs clearing, and Lockers saved views answer common allocation questions without sorting a spreadsheet manually. The Overview screen combines a metric row with a board, What's free presents available records as cards, and Full register provides the complete grid for administration.

Use this template when facilities or workplace teams need a shared operational record of who has which space and what can be assigned next. Keep a returned space at Needs clearing until belongings, cleaning, repairs, or access checks are complete; then change it to Free. Use Out of use for spaces unavailable because of damage, construction, or a site decision.

This app is not a lock-control system, parking enforcement tool, access-control directory, or replacement for records that your organization must retain under a specific policy. It also is not intended for unrestricted self-entry by every employee: the supplied posture makes managers and admins responsible for data entry and record maintenance.

Standards & compliance context

  • The register can support workplace facilities accountability by recording the assigned person, assignment date, location, and current status, but it does not by itself establish compliance with local workplace or property requirements.
  • For secure facilities, use the register alongside the organization’s access-control and visitor-management procedures rather than treating a space assignment as proof of access authorization.
  • Define retention, correction, and deletion practices with your records owner because this template allows managers and admins to edit and delete records.
  • Do not place keys, access codes, health information, or other sensitive details in Notes; keep those records in an approved restricted system.

General regulatory context for orientation only — verify current requirements with counsel or the relevant agency before relying on this template for compliance.

How to use this template

  1. Add the Locker & Parking app from the template to your MangoApps workspace and confirm the app owner who will receive notifications.
  2. Decide which managers and admins will add records, then agree on consistent labels for Space, Site, and Area before entering the inventory.
  3. Create one record for each locker, parking bay, bike space, or desk drawer and complete its Type, Assigned to, Assigned on, Status, and Notes fields where applicable.
  4. Use the What's free cards and Free saved view before assigning a space, and use the Assigned, Needs clearing, Lockers, and Full register views to inspect current allocation and exceptions.
  5. When a space is returned or becomes unavailable, update Status to Needs clearing or Out of use and add a Note describing the action required.
  6. Respond to the Space needs clearing notification, complete the physical clearing or repair, and change the record to Free only when it is ready for reassignment.

Best practices

  • Give every space a unique label and include Site and Area whenever the same numbering pattern exists in more than one location.
  • Set Status to Needs clearing after a return instead of marking the space Free before belongings and cleaning have been checked.
  • Record Assigned on at the time a space is handed over so the register preserves a useful allocation timeline.
  • Use Notes for practical handover details such as a damaged lock, abandoned property, cleaning requirement, or maintenance hold.
  • Keep Type values accurate so the Lockers saved view and future allocation checks do not mix lockers with bays or bike spaces.
  • Use Out of use for spaces that cannot currently be assigned and review that status after maintenance or layout changes.
  • Check the Assigned and Needs clearing views during routine facilities reviews rather than relying only on individual requests.
  • Keep the app owner current so the Space needs clearing notification reaches someone able to coordinate the next action.

What this template typically catches

Issues teams running this template most often surface in practice:

A returned locker is marked Free even though personal belongings remain inside.
A parking bay is assigned without a Site or Area, making duplicate bay labels hard to distinguish.
A desk drawer has an occupant but no Assigned on date, leaving the handover history incomplete.
A bike space appears available in an old list while its Status is still Assigned in the current register.
A damaged or blocked bay remains mixed with assignable spaces instead of being marked Out of use.
A space is held at Needs clearing but no manager notices the required action because the app owner was not assigned correctly.
A locker is recorded under the wrong Type, so it does not appear in the expected Lockers saved view.

Common use cases

Facilities manager assigning office lockers
A facilities manager records every locker by Space, Site, and Area, assigns an employee, and sets Assigned on when the key or combination is handed over. Returned lockers stay in Needs clearing until the manager confirms they are ready for the next occupant.
Multi-site workplace parking coordinator
A parking coordinator uses Parking bay records with consistent Site and Area labels to separate inventory across offices. The Free and Assigned views provide a controlled starting point for allocating bays without relying on separate site spreadsheets.
Campus operations team managing bike spaces
Campus operations records Bike space locations and uses Notes for repair or obstruction details. Spaces that cannot be used are marked Out of use, keeping them out of normal availability decisions until the issue is resolved.
Shared-office administrator allocating desk drawers
An office administrator tracks Desk drawer assignments alongside lockers and other small spaces. The Full register supports periodic checks for departed occupants, missing assignment dates, and drawers that need clearing before reuse.

Frequently asked questions

What spaces can this Locker & Parking template track?

The register supports Locker, Parking bay, Bike space, and Desk drawer records. Each record includes the Space, Type, Site, Area, Assigned to, Assigned on, Status, and Notes fields. Use Site and Area to distinguish locations when the same space labels appear in multiple buildings.

Who should add and maintain records?

Only managers and admins add records in this app, which keeps assignments under controlled ownership. They can also edit or delete records when the register needs correction. Staff who receive a space do not create their own records unless your workspace changes the permissions.

How often should the register be reviewed?

Update a record when a space is assigned, returned, cleared, or taken out of use. Review the What's free screen before making a new assignment and check Needs clearing whenever someone leaves or changes location. A periodic review of the Full register can catch stale assignees and missing dates.

Does this replace a facilities or access-control system?

It is designed for an operational allocation register, not for controlling locks, gates, parking barriers, or building access. It records who a space belongs to and its current lifecycle status. Keep security credentials, access permissions, and any legally required facilities records in the systems designated for those purposes.

What is the common mistake when using this app?

The most common mistake is marking a space Free immediately after it is returned, without checking whether it still contains belongings or needs cleaning. Use Needs clearing until the space is ready for reassignment, and use Notes to record any action a manager must complete. Also record Site and Area consistently so duplicate space labels are not confused.

Can the fields or status options be customized?

The template starts with the Space, Type, Site, Area, Assigned to, Assigned on, Status, and Notes fields. Its initial status options are Free, Assigned, Needs clearing, and Out of use. In a demo, discuss whether your workspace needs additional location fields, ownership rules, or status choices.

What does the clearing automation do?

When the space status changes in a way that triggers Space needs clearing, the app notifies the app owner. This gives the responsible owner a prompt to inspect or arrange clearing before the space is offered again. Confirm who the app owner is during rollout so the notification reaches the right person.

How does this compare with a spreadsheet or clipboard list?

A spreadsheet or clipboard can list assignments, but it is easy to miss which spaces are free or still need clearing. This working app provides the Free, Assigned, Needs clearing, and Lockers saved views, plus Overview, What's free, and Full register screens. It is added to your MangoApps workspace rather than delivered as a document or download.

How should we roll it out across multiple sites?

Start by agreeing on a naming convention for Space and consistent values for Site and Area. Managers and admins can then enter the existing inventory, assign current occupants, and mark unavailable spaces Out of use. Validate the What's free cards and Full register grid with each site owner before treating the register as the source for new assignments.
