AI Assistants

1. What it is

People can use MangoApps from the AI assistant they already work in: Claude, ChatGPT, Codex, Slackbot or Microsoft 365 Copilot. They ask in their own words (“what needs me this shift?”, “approve Maria’s time off”), and the assistant looks things up or makes the change in MangoApps as that person, with that person’s permissions.

• Enablement: off by default. An administrator turns it on for the whole organization in Admin → Security → Connectors.
• What it is not: it is not the Slack or Microsoft Teams connection that sends MangoApps notifications and runs /mango commands. That is set up separately in Admin → Organization → Integrations → Manage Messaging & Sharing (see Slack and Microsoft Teams). It is also not Ask AI inside MangoApps, which has its own settings.

2. Standing it up

1. Go to Admin → Security → Connectors and turn on Let people connect AI assistants.
2. Make MangoApps available in the assistant:
   • Claude and ChatGPT: each person adds MangoApps as a connector in their assistant. The steps are on the setup pages at mangoapps.com/claude and mangoapps.com/chatgpt.
   • Slackbot: your Slack workspace admin adds the MangoApps Workforce app to Slack. After that, anyone can ask Slackbot about their MangoApps work.
   • Microsoft 365 Copilot: your Microsoft 365 admin makes the MangoApps Workforce agent available to your people. They then open it in Copilot, where suggested prompts such as My day and Approvals show what it can do.
3. The first time someone uses it, the assistant asks them to sign in to MangoApps and approve the access. They can only connect to the MangoApps organization they belong to.
4. To confirm it worked, reopen Admin → Security → Connectors. Each assistant someone has connected is listed with who authorized it and when it was last used.

If connectors are off, the sign-in screen refuses and says why. An administrator who tries to connect gets a button that opens the Connectors page; everyone else is told to ask their administrator.

3. How it fits together

The person’s own access. An assistant can see and do only what the person who connected it can see and do in MangoApps. A manager’s assistant can approve their team’s requests; an employee’s cannot. Apps that are turned off for your organization, or hidden from that person, are off for the assistant too.

Changes need the person’s approval. Anything that changes data (approving a request, completing a task, sending a reminder) first shows a preview of exactly what will happen. It runs only after the person approves, and an approval that isn’t used within 5 minutes expires. Where the assistant supports it, the preview appears as a card with Approve and Cancel buttons. Messages sent to other people can’t be recalled, and the preview says so.

One switch for everyone. Turning Let people connect AI assistants off stops every connected assistant straight away, including ones already connected, until it is turned back on. Nobody has to reconnect when it comes back on.

Every call is recorded. Each action an assistant takes is logged against the person it acted for. The most recent calls appear under Recent API activity on the Connectors page.

Slackbot and Copilot need two approvals. Your Slack or Microsoft 365 admin decides whether the MangoApps app or agent is available in their product at all, and this page decides whether MangoApps accepts it. Both have to say yes.

4. Running it

See who is connected. The Connectors page lists each assistant, the people who authorized it, the access they granted, and when it was last used.

Limit an assistant to some apps. Under an assistant’s row, open Limit which apps … can access and tick the apps it may use. Leave everything unticked to allow every app that is turned on. Platform help and knowledge search stay available either way.

Revoke an assistant. Revoke signs everyone out of that assistant immediately. People can connect again later if connectors are still on.

Automations and integrations. An assistant always acts as a person. For a script, a scheduled job or another system acting on its own behalf, use a service account instead (Admin → Security → Service Accounts).

5. Settings

Let people connect AI assistants (default: off). Controls whether any AI assistant can connect to your organization.

Limit which apps … can access (default: every app that is turned on). Set per connected assistant.
