What Your Employees See

1. What it is

Every employee in the platform has a set of personal surfaces that are not tied to any single app: their home dashboard, a My Stuff hub that collects mentions, assignments, bookmarks, drafts, and notes, a user profile, an AI Home feed for items that need decisions, and Account Settings for notification, security, and availability preferences. These surfaces are always available — they do not require a separate app licence.

  • What it is not: these are not admin surfaces. The admin Dashboard Configuration, the Widget Gallery, and the Suggestion Center are admin tools that control what appears here — they are covered in the Dashboards & Widgets article. This article describes what the employee sees as a result of those settings.

2. Standing it up

Most personal surfaces work out of the box with no configuration. The steps below cover the things that do require admin action.

  1. Dashboard layout — go to Admin → Dashboard Configuration. Three starter dashboards are created automatically: Default (all employees), All Managers, and All Admins. Each is a published layout of widgets. To change what a group sees, drag widgets in or out of the layout, resize them, then click Publish. Unpublished edits stay in draft and do not affect live users.
  2. Group dashboards — to give a specific audience a different home page, create a new dashboard and attach it to a Group (a notification recipient group). A user sees the first published dashboard whose group they belong to; everyone else gets the Default.
  3. Widget Gallery — go to Admin → Widget Gallery. Any widget an admin disables here disappears from every dashboard, the mobile home, and digital signage at once. Widgets whose required app is not enabled for the tenant are filtered out automatically.
  4. Profile field visibility — go to Admin → Employee Data → Field Configuration. Each standard field can be set to visible to Admins only, Managers, Employee, or Everyone, and its edit permission can be Admin only, Manager edit, or Employee edit. Fields marked Show in Directory appear on the peer-facing profile card when a colleague views someone else’s profile.
  5. Profile tab visibility — admins can toggle entire profile tabs (Personal Info, Employment, Attendance, Compensation, Benefits, Compliance) on or off from the same Employee Data settings area.
  6. Suggestion Center — go to Admin → Suggestion Center (or the Loop app’s Suggestions tab if Loop is enabled). Each suggestion service has rules that can be enabled, disabled, or tuned per tenant. Rules with a low action rate are auto-muted by a nightly job.

3. How it fits together

Dashboard groups and priority — a dashboard group is a published layout of widgets tied to a group audience. Groups are ordered by priority (lowest position number wins). When an employee loads the home page, the platform walks the list top-to-bottom and serves the first published dashboard whose group includes that user. The non-deletable Default dashboard sits at position 1,000 and catches everyone who did not match an earlier group. An admin can also mirror one dashboard to another — the mirrored dashboard inherits its target’s published layout and stays in sync automatically.

Widgets and roles — each widget declares which roles it is appropriate for (member, manager, admin, super admin) and which apps it depends on. A widget only appears on a user’s dashboard if all three gates pass: the widget is placed on the user’s matching dashboard, the widget’s required app is enabled for the tenant, and the widget is not disabled in the Widget Gallery. The platform ships with approximately 70 registered widgets across three tiers: platform widgets (always available), core-app widgets (conditional on business settings), and marketplace-app widgets (conditional on enabled apps). Admins can also create custom widgets (embeds, boards, quick-action sets) from the Widget Gallery.

Catch Me Up — the start-of-day brief that appears on the default dashboard. It is the single summary an employee reads to learn what happened since they last checked in: what they missed, what needs their decision, and what changed. When the employee clicks Mark all caught up, the last-seen marker advances and the brief resets. This is the only place the marker advances — refreshing the page or navigating away does not clear it.

AI Home — at /ai-home, this surface collects everything the AI-backed apps have flagged for the viewer, ranked by urgency. Items appear in scope sections: My items (personal), Team ops (direct reports, for managers), Hiring (recruiting pipeline), and Admin (business-wide actions only administrators see). Each item shows its priority, the recommended action, and a confidence indicator when the AI reasoned the recommendation. Managers can approve, reject, dismiss, or snooze items. Employees can create follow-ups to track items the AI should re-check. Snooze durations range from 1 hour to 7 days. Items that have been resolved move to the History page.

My Stuff — at /my-stuff, a unified hub showing a snapshot from each personal surface: the 8 newest bookmarks, the 5 most recent unfinished drafts, the 5 newest private notes, open task assignments (up to 20), @-mentions (up to 15), unread notifications, unread direct messages, and AI-drafted check-ins awaiting approval (up to 10). Each section links out to the full dedicated surface.

Bookmarks — at /bookmarks, the employee’s saved items. The bookmark button appears next to workspace messages, comments, tasks, wikis, policies, SOPs, library items, site pages, recognition posts, and recruiting jobs. Each bookmark can carry a personal note (up to 500 characters). Bookmarks can be sorted, filtered by type, and searched.

Drafts — at /drafts, the employee’s unfinished text. As employees type in workspace message composers, comment boxes, direct-message threads, broadcast or task composers, and communications, the platform auto-saves their work. The drafts page lists everything in progress so the employee can resume or discard it.

Personal Notes — at /notes, a private scratchpad. Notes support voice recording — a voicenote is transcribed automatically, and the transcript becomes the note body. Notes can be converted into self-assigned tasks (when the Tasks app is enabled and self-assignment is allowed). Notes auto-save as the employee types.

Soft delete and Trash — at /my-trash, a personal recovery surface. When an employee deletes a personal note, bookmark (that has a note attached), workspace message, comment, direct message, Drive item, task list, event, or workspace, the item is soft-deleted and recoverable for 30 days. The trash page shows only items the viewer themselves deleted, groups them by type, and supports sorting by most recently deleted or soonest to expire. After 30 days, a daily background job permanently purges the item. Drafts are the exception: discarding a draft hard-deletes it and does not send it to trash.

User profile — each employee has a profile page with tabs that vary depending on which apps are enabled and what the admin has configured. The possible tabs include Overview, Personal Info, Employment, Attendance, Time Off, Compensation, Benefits, Performance, Skills & Credentials, Compliance, Custom Fields, Audit History, and Login Activity. When a colleague views someone else’s profile, they see a simplified peer card showing only fields with Show in Directory turned on.

Account Settings — at /account_settings, five tabs let the employee manage their own preferences:

  • Notifications — per-category delivery preferences (in-app, email, push)
  • Security — password change and two-factor authentication enrolment
  • Availability — preferred days off, weekly hour range, weekend and holiday availability, maximum consecutive days (only visible when scheduling is enabled)
  • Preferences — language preference and meeting URL defaults
  • AI Profile — how the AI personalises its responses (communication style, detail level, technical level)

4. Running it

Reviewing what a group’s dashboard looks like

  1. Go to Admin → Dashboard Configuration.
  2. Find the dashboard group and click Preview. The preview renders the published layout with real data for your own account.

Disabling a widget across the entire tenant

  1. Go to Admin → Widget Gallery.
  2. Find the widget and toggle it off. It is removed from every dashboard, the mobile app, and digital signage immediately — no republish needed.

Tuning the Suggestion Center

  1. Go to Admin → Suggestion Center.
  2. Each service (Scheduling, Leave Management, Compensation, Training, and others) lists its rules with 30-day telemetry: how often each suggestion was shown and how often employees acted on it.
  3. Toggle a rule off to suppress it, or click into a rule to adjust its thresholds. Changes take effect immediately.
  4. Rules whose action rate drops below 5% over the last 30 days (with at least 5 impressions) are flagged At risk and will be auto-muted by the nightly sweep unless an admin re-enables them first.

Configuring which profile fields employees can see and edit

  1. Go to Admin → Employee Data → Field Configuration.
  2. For each field, set the Visibility level (who can see it) and Edit permission (who can change it).
  3. Toggle Show in Directory for fields that should appear when a colleague views someone else’s profile.
  4. To hide an entire tab, use the profile tab visibility controls in Employee Data settings.

Managing self-service profile editing

  1. Go to Admin → Employee Data → Settings.
  2. Toggle Self-service editing on or off. When off, employees cannot edit their own profile fields — only admins and managers can.
  3. Optionally enable Require approval for updates. When on, employee-initiated changes go through a manager or admin approval workflow before taking effect.
