Dashboards & Widgets

1. What it is

The dashboard is every employee’s home page. When a user signs in or taps the home icon, the platform resolves which widgets to show and in what order, based on group membership and role. Two admin surfaces control this:

• Admin → Dashboard Configuration — the builder where you compose dashboards and assign them to groups.
• Admin → Widget Gallery — the catalog of every widget type, where you enable or disable widgets tenant-wide, and create custom embed, board, and quick-add widgets.

Enablement: These are built-in admin surfaces, not a licensed app. Any admin or super admin can access them.

What it is not: The Dashboard Configuration page arranges widgets on the home page. It does not control the left sidebar navigation — that is managed in Admin → Settings Hub → Navigation.

2. Standing it up

The dashboard works immediately with no configuration — every new business gets three starter dashboards pre-populated with default widgets. The steps below let you tailor it.

1. Go to Admin → Dashboard Configuration. Three dashboards are seeded automatically the first time an admin visits: Default (the catch-all for everyone), All Admins, and All Managers.
2. For each dashboard, drag widgets from the palette on the left into the canvas. Widgets are grouped by category (Platform, Core, and one section per enabled app). Each widget can be set to full width or half width.
3. Click Save draft to store changes without affecting live users. Click Publish to push the draft live. Users see the published layout only.
4. To target a specific audience, click Add dashboard and choose a Notification Recipient Group. The new dashboard appears in the priority list above Default.
5. Reorder dashboards by dragging them. The platform evaluates them top to bottom — a user sees the first published dashboard whose group they belong to. Default is always last and cannot be deleted or reordered.
6. Confirm by signing in as a user who belongs to a group — they should see that group’s published dashboard.

Pairing that matters: a widget only appears when the app it depends on is enabled in the Apps Marketplace. For example, adding the Upcoming Shifts widget does nothing until the Shifts & Scheduling app is turned on for the business.

3. How it fits together

Group dashboards vs. persona defaults

There are two layers of dashboard resolution, and one always wins over the other:

• Group dashboards are what you build in the Dashboard Configuration page. Each one is tied to a Notification Recipient Group and has a priority position. The platform walks the list top-to-bottom and gives the user the first published match. This is the explicit layer — it is what the admin authored.
• Persona defaults are the fallback. When no group dashboard matches (or the Default dashboard has no stored layout override), the platform composes a home from a persona pack — Frontline, Office, or HR — determined by the user’s role type, department, and schedulability, plus role-based overlays for managers and admins.

Once you save a custom layout on a group dashboard, that dashboard’s layout wins completely — persona logic is bypassed. Persona defaults only apply when no stored layout exists for the resolved dashboard.

Widget categories

Widgets are registered in a central registry (86 static types, plus any created by plugins or by admins in the Widget Gallery). They fall into three categories:

• Platform (5) — always available: Business Setup Checklist, Quick Actions, Notifications, User Profile Summary, Onboarding Progress.
• Core app (13) — available when the corresponding core feature is on: Catch Me Up, AI Home, Week at Glance, Upcoming Shifts, Pending Approvals, Team Coverage, and others.
• Marketplace app (68) — one or more per enabled app, from Broadcast to Workspace.

Each widget declares which roles can see it, which apps it depends on, and a default width (full or half).

Draft, published, and unpublished changes

Every group dashboard has two layout slots. The draft is what you edit in the builder. The published layout is what users see. Editing a published dashboard parks the change as “unpublished changes” until you publish again. This means you can rearrange a dashboard over several sessions without disrupting the live home page.

Widget Gallery curation

The Widget Gallery is a tenant-level on/off switch for individual widgets. Disabling a widget in the Gallery hides it from all surfaces — every dashboard, the mobile app, the builder palette, signage, and lazy-loaded frames — without changing any layout. Re-enabling restores every existing placement. You can also disable an entire type at once (e.g. all embeds) using the type-level switch.

4. Running it

Adding a group dashboard

1. Go to Admin → Dashboard Configuration.
2. Click Add dashboard and pick a Notification Recipient Group from the dropdown. Groups already backing a dashboard and groups that require runtime parameters (e.g. location-radius groups) are excluded from the picker.
3. The new dashboard starts with an empty canvas and a status of “draft”. Drag widgets in, then publish.

Copying or mirroring a dashboard

• Copy from replaces or merges the current dashboard’s draft with another dashboard’s layout. Two modes: Replace (exact copy) and Merge (append widgets not already present).
• Mirror makes a dashboard share another’s published layout. A mirrored dashboard is read-only — edits go to the source. Unlink the mirror to make it independent again. Circular mirrors are prevented.

Previewing a dashboard

Click Preview on any dashboard to see a full-page WYSIWYG rendering of its draft (or its mirrored source’s published layout), inside the real application layout with the navbar and sidebar.

Disabling or enabling widgets tenant-wide

1. Go to Admin → Widget Gallery. The Catalog tab shows every widget type with its current state: Available, Disabled, App off, or Disabled + App off.
2. Click a widget card to toggle it, or select multiple cards and use the bulk action bar. Bulk toggle is capped at 200 widgets per request.
3. A disabled widget vanishes from all dashboards and pickers until re-enabled. Your layouts are left untouched — re-enabling restores the widget everywhere it was placed.

Creating a custom widget (embed)

1. In the Widget Gallery, click New embed widget. A drawer opens.
2. Enter a name (up to 120 characters), the HTTPS URL to embed, and choose an aspect ratio (16:9, 4:3, 1:1, 3:1) or a fixed pixel height (200–1200 px). The default height is 400 px.
3. Optionally set a content zoom level (100%, 90%, 75%, or 50%), a description (up to 160 characters), and which roles can see it.
4. Save. The widget appears in the builder palette as an available widget. Embed URLs must be HTTPS and cannot point to a MangoApps domain.

The Widget Gallery detects common BI tools — Tableau, Power BI, Looker Studio, Grafana, Metabase — and offers to strip their native chrome for a cleaner embed. A weekly background job re-checks whether each embed URL can still be framed.

Creating board and quick-add widgets

Board widgets are created in the Live Boards app and display data from Power Tables as ranked lists, charts, stats, gauges, scorecards, and other visualizations. Quick-add widgets are small dashboard forms that capture one row into a Power Table. Both require the Live Boards and Power Tables apps to be enabled.

Archiving custom widgets

Custom widgets (embed, board, quick-add) are archived rather than deleted. An archived widget disappears from all dashboards and the builder, but its layout placement is preserved — restoring it brings every placement back.

5. Settings

The dashboard system has no dedicated settings page. Configuration is done through the two admin surfaces:

Out-of-the-box defaults:

• A dashboard you add starts as Draft — new dashboards must be published before users see them.
• Only the seeded Default dashboard is the catch-all; a dashboard you add is not.
• A new custom widget is Active — it is immediately available.
• A new custom widget is visible to all four roles (Member, Manager, Administrator, Super Admin).
• Nothing is disabled in the Widget Gallery until you disable it.
