Business Profile & General Settings

1. What it is

Business Profile and General Settings are the two admin surfaces where you define your organisation’s identity and its platform-wide operating defaults. Business Profile holds who you are — name, address, industry, compliance details, and default work days. General Settings holds how the platform behaves — branding, notification channels, operating countries, languages, overtime rules, media policies, and onboarding configuration.

  • Access: both require the Administrator or Super Admin role. Business Profile is at Admin → Organization → Business Profile. General Settings is at Admin → General Settings → General Settings.
  • What it is not: per-app settings (scheduling rules, leave policies, form templates) are configured inside each app’s own settings page, not here. Security and sign-on live under a separate Security Settings surface.

2. Standing it up

  1. Go to Admin → Organization → Business Profile. Click Edit Profile. Fill in the business name, industry, timezone, and address. These fields inform location inheritance, scheduling, and compliance throughout the platform.
  2. Set Default Work Days on the same page. Work days default to Monday–Friday and are inherited by all locations unless overridden at the location level. They affect leave-request calculations and business-day counting system-wide.
  3. Fill in the Compliance & Legal Information section if your organisation needs payroll integration, benefits administration, or regulatory reporting. All fields here are optional.
  4. Go to Admin → General Settings → General Settings. This hub page links to every platform-wide configuration surface. At minimum, configure:
    • Brand & Theme — logo, colours, fonts, and mobile header styling.
    • Operating Countries — which countries your business operates in. One country must be marked primary.
    • Supported Languages — which languages are available for content and communications.
  5. Configure notification channels: Email, SMS, and Push Notifications each have their own settings card on the General Settings hub. SMS is disabled by default and requires enabling before any SMS notifications will send.

Silent-failure pairing: enabling SMS on the General Settings page does nothing if no Twilio credentials are configured. The SMS settings page shows the toggle but the platform cannot deliver messages without a provider connection.

3. How it fits together

Business Profile (identity) — the Business record is the tenant. Its name, domain, business ID, and subdomain are set at creation and cannot be changed afterward (displayed as read-only on the edit form). Everything else — industry, timezone, address, work days, compliance fields — can be updated at any time. The profile page also shows current employee counts by role and active location count.

Work days inheritance — the business’s default work days are the last fallback in a three-level chain: location-specific setting → location hierarchy level default → business default. When a location does not set its own work days, it inherits from its hierarchy level; when the level has none, it inherits from the business. This affects leave calculations, scheduling, and business-day counting across every app that uses calendar logic.

General Settings (platform behaviour) — the General Settings hub groups platform-wide configuration into cards. Some cards are always visible (Brand & Theme, Countries, Languages, SMS, Email, Push, Messages, Media, Onboarding). Others appear only when workforce features are enabled (Business Time Settings, Financial & Overtime, New Employee Defaults, Company Holidays, Payroll). The hub is a navigation surface — each card links to its own dedicated settings page.

Compliance & Legal — the business profile carries optional fields for Federal EIN, legal entity type, state and country of incorporation, reported employee count, fiscal year end, and union status. The Federal EIN is never prefilled in the edit form’s page source; it is revealed on demand through a step-up-authenticated, audited endpoint. The reported employee count is compared against active users in the system, and the ACA applicability badge appears automatically when the count reaches 50 or more.

Brand & Theme — logo, favicon, brand colours, navigation colours, typography, and mobile header/footer styling are managed at Admin → General Settings → Brand & Theme Settings. The theme editor includes accessibility issue detection and supports saved presets. Logo and branding settings were moved out of the Business Profile edit form; a notice on that page links to the theme settings.

4. Running it

Editing the business profile

  1. Go to Admin → Organization → Business Profile and click Edit Profile.
  2. Update any fields. The form is divided into sections: company details (name, industry, type, size, timezone, website, founding year), business location (address with autocomplete), description, compliance & legal, and default work days.
  3. Click Update Business. Domain, Business ID, and subdomain are locked after creation.

Revealing the Federal EIN

  1. On the Business Profile edit page, find the Federal EIN field under Compliance & Legal Information.
  2. The current EIN is displayed masked (e.g. ••-•••6789). Click the eye icon to reveal it.
  3. Revealing requires a step-up session verification and is logged to the audit trail. To change the EIN, enter a new value in the format XX-XXXXXXX; leaving the field blank keeps the current value.

Managing operating countries

  1. Go to Admin → General Settings → Operating Countries.
  2. Select the countries where your business operates. The page shows how many locations and employees are assigned to each country.
  3. Designate one country as primary. If you remove the primary country, the platform selects the first remaining enabled country as primary.

Managing supported languages

  1. Go to Admin → General Settings → Supported Languages.
  2. Select languages for your organisation. If no default is chosen and English is among the enabled languages, English becomes the default automatically.

Configuring notification channels

Each channel has its own settings page accessible from the General Settings hub:

  • Email — sender name, custom SMTP configuration, test email delivery.
  • SMS — enable/disable, daily and monthly send limits, domestic-only restriction, test SMS delivery.
  • Push Notifications — enable/disable, registered device list, test push delivery.

Toggling messages (direct messaging)

  1. Go to Admin → General Settings → Messages.
  2. Toggle whether employees can send 1:1 and small-group messages. This controls the Messages marketplace app’s enabled state for the tenant. Finer governance (group DMs, attachments, who-can-initiate, retention) lives on the Messages app’s own settings page.
