OKR Hub FAQ
Answers to common setup and operating questions about OKR Hub.
For what the app is and how to set it up from scratch, see the
OKR Hub Overview.
Setup
Do I need to configure anything before my team can start using OKR Hub?
Yes. An administrator must enable OKR Hub from the Apps Marketplace and grant a licence. The app is disabled by default and requires a licence before anyone can access it. Once enabled, review the OKR Hub Settings page to set your check-in cadence, traffic-light thresholds, and fiscal year start month. All nine admin feature toggles (Quarterly Planning, Templates, Scoring, Progress Updates, Reminders, Confidence Scoring, Analytics, Export, and AI) default to on, so features are available immediately unless you turn them off.
Who can see objectives once OKR Hub is turned on?
By default, all employees see all objectives across the company. This follows the industry-standard OKR transparency model. An administrator can change this under the Who can view employees’ OKRs? setting to one of three modes: Everyone (company-wide, the default), Managers (each person sees only their own plus their direct reports’), or Specific (a named set of users or groups). Admins, OKR Hub app admins, and HR admins always see everything regardless of the mode.
Permissions and access
Who can create objectives at each level?
Any employee can create individual-level objectives. Managers and above can create team, department, and company objectives. Only admins can access the Setup tab (OKR Hub Settings). The Insights tab (Reports, Analytics, and Initiatives) and the Team tab are visible to managers and above. The Strategy tab also requires the Performance Management app to be enabled.
Why can’t an employee see a colleague’s objectives?
Check the Who can view employees’ OKRs? setting. If it is set to Managers or Specific, employees see only their own objectives plus their direct reports’. Switch to Everyone if company-wide transparency is desired. Key-result visibility follows the parent objective’s owner, so if an employee can see the objective they can see its key results. Co-owners of a shared key result can always see that key result.
Day-to-day
How is progress calculated on an objective?
Progress rolls up from the objective’s key results. Each key result tracks a start value, current value, and target value. For an increase goal the current value as a share of the target gives the percentage. For a decrease goal (e.g. reduce churn from 20% to 5%) progress rises as the value falls from start toward target. The business-wide default progress calculation method is Weighted average. Admins can change it to Manual or Rollup in OKR Hub Settings. Each objective also has its own progress mode (Manual, Auto, or Hybrid) that the creator picks.
How does scoring work?
Scoring uses a 0.0 to 1.0 scale. The automatic score for an objective is the average of its key results’ scores (or their progress percentage if unscored). Each score receives a grade: below 0.3 is Needs Improvement, 0.3 to 0.7 is On Track, 0.7 to 1.0 is Exceeded, and exactly 1.0 is Perfect. Committed and stretch goals are graded on different curves: a committed goal below 0.7 reads Did not deliver, while the same score on a stretch goal reads Average — typical outcome for stretch goals. Scoring is an admin toggle and can be turned off.
What happens when a key result reaches its target?
The key result is not automatically marked complete. Reaching the target surfaces the Mark Complete action, and the owner must click it. This is intentional — it gives the owner a chance to verify the result before closing it. If a completed key result is later corrected back below its target, the status reverts to active and Mark Complete reappears.
How do check-ins work?
Check-ins run on the cadence the admin sets: Weekly, Biweekly, or Monthly (default is Weekly). Each check-in captures a confidence rating (On track, At risk, or Off track), a progress summary, blockers, needs, and next-period priorities. The owner can attach files and add emoji reactions. A manager can review the check-in and leave written feedback. Automated reminder notifications go out on the day and time the admin sets (default: Monday at 9:00 AM). Reminders stop 30 days after the check-in date passes.
Can I roll objectives into the next quarter?
Yes, through the Planning Wizard (available to managers and above when the Quarterly Planning toggle is on). Select the objectives you want to carry forward and use Rollover. Each selected objective is cloned into the next quarter with progress reset to zero, status set to draft, and all key results copied with their values reset.
How does the approval workflow work?
Approval is off by default. An administrator can turn it on per level — separately for company, department, team, and individual objectives. When enabled, an objective owner submits the objective for approval and it moves to Submitted. A manager or above reviews it and either approves or rejects it. Bulk approve and reject are available from the Approvals page in the Planning section.
When something looks wrong
My progress bar is red even though we’re making progress — what’s wrong?
The traffic-light colours are driven by configurable thresholds. By default, progress at or above 80% is green (On track), 70–79% is yellow (At risk), and below 70% is red (Off track). An admin can change these thresholds in OKR Hub Settings. The yellow threshold must be less than the green threshold.
I updated a key result but the objective progress didn’t change
If the objective’s progress mode is set to Manual, key-result progress does not roll up automatically. Switch it to Auto or Hybrid on the objective’s edit page. Also check that the key result’s target value is not zero — progress cannot be calculated against a zero target.
I can’t edit my comment any more — it was only posted a few minutes ago
Comment authors can edit their own comments for 15 minutes after posting. After that window closes only an admin can edit the comment. Admins can always delete any comment; managers can delete comments on objectives owned by their direct reports.
Why didn’t my team get check-in reminders?
Verify three things: the Automated reminders toggle is on in OKR Hub Settings, the Enable check-in reminders setting is on in the OKR Hub settings table, and the check-in is still within 30 days of its due date (reminders stop after that). Also confirm the reminder day and time are set as expected (default: Monday at 9:00 AM, weekdays only).
Licensing and limits
Does OKR Hub require a licence?
Yes. OKR Hub requires a licence and is opt-in per tenant. An administrator enables it from the Apps Marketplace. It is disabled by default until then.

AI features
What can AI do in OKR Hub, and can I turn it off?
When the AI insights toggle is on (the default), five capabilities are available: generate key results from an objective title, score an OKR’s quality against best practices, validate it against SMART criteria, predict achievement probability with risk factors, and suggest improvements. AI can also generate an executive summary from check-in data. Every suggestion requires a person to click it before anything is saved — nothing is written automatically. Turn the toggle off in OKR Hub Settings to disable all AI features.
