Classifieds

1. What it is

Classifieds is an internal marketplace where employees post items for sale, give things away, request items, or offer services to colleagues. All exchanges are peer-to-peer within the company — the platform does not facilitate payment or guarantee transactions.

  • Enablement: Classifieds requires a license and is off by default. An admin enables it from the Apps Marketplace.
  • What it is not: Classifieds is not an e-commerce storefront. There is no cart, checkout, or payment processing. Buyers and sellers arrange everything directly.

2. Standing it up

  1. Go to Admin → Apps Marketplace and enable Classifieds.
  2. Open Classifieds → Settings (the gear icon in the sidebar). The app works with its defaults, but review the Moderation tab before launch — decide whether listings require admin approval before they go live (off by default) and add any auto-moderate keywords or prohibited category names your organization needs.
  3. Categories are created from the Classifieds home page. Create at least a few (e.g. Furniture, Electronics, Books) so employees can browse by topic. Categories require a name, an icon, and a color. Category is required on every listing by default.
  4. Grant App Admin access to anyone who should moderate listings and review reports but is not a full business admin. App Admins see the Approvals, Admin Reports, and Analytics tabs.
  5. Confirm it worked: any logged-in employee should see Classifieds in the app launcher and be able to post a listing. Admins should see the full sidebar: Home, Browse Listings, My Listings, My Favorites, Post Listing, Approvals, Admin Reports, Analytics, and Settings.

Silent-until-configured: if you turn on Require Admin Approval but leave Notify About New Listings off, new listings queue up for approval with no notification to anyone. Turn both on together, or assign a moderator group under the notification setting.

Who moderates: when Notify About New Listings is on, approval emails go to the moderator group you select in the notification setting. If no group is selected, they go to the Classifieds App Admins. They do not go to every business admin.

3. How it fits together

Listings — the central object. Each listing has a title (up to 100 characters), a description (up to 2,000 characters), a type, optional photos and videos, a price (for items being sold), a category, and an optional location tied to a business location. Listings auto-expire after a configurable number of days (default 30). The poster — or an admin — can renew a listing that is expired or within 7 days of expiring. Deleting a listing is a soft delete; it is hidden from Browse but preserved for reporting.

A listing can be edited by its owner, a business admin, or a Classifieds App Admin — but only while the listing is active or pending approval. Anyone in those same roles can delete or mark a listing as fulfilled at any time.

There are four listing types, and the type determines price behavior:

  • For Sale — price is required and must be greater than zero.
  • Free / Giveaway — price is forced to zero.
  • Wanted / Request — price is forced to zero. The poster is looking for an item.
  • Services Offered — price is optional. The poster offers a service.

Supported currencies are USD, EUR, GBP, and CAD. The default is USD.

A listing moves through these statuses during its life:

  • Pending Approval — waiting for admin review (only when approval is required or the listing was auto-flagged). Not visible in Browse to other users.
  • Active — live and visible in Browse.
  • Expired — past its expiry date. Hidden from Browse. Can be renewed.
  • Fulfilled — the poster marked the deal as done. Favoriters are notified.
  • Deleted — soft-deleted. Hidden everywhere but preserved for reporting.

Example: an employee posts a standing desk under Furniture → For Sale at $150, attaches 3 photos, and picks their office location. It appears in Browse for 30 days. A colleague favorites it, gets notified when the price drops to $100, and uses Message Seller to open a direct-message thread about pickup.

Categories — every business manages its own set. A category has a name (unique within the business), an icon, a hex color, and a sort order. System categories (seeded at setup) cannot be deleted. Custom categories can be deleted only when they have zero listings. Each category tracks its own active listing count. Prohibited category names (default: weapons, alcohol, drugs, adult) block listing creation at the form level — the match is case-insensitive and substring-based, so “adult” also blocks “Adult Content.”

Favorites — employees can save a listing to their My Favorites list and access them from the My Favorites tab. When a favorited listing’s price drops, the platform notifies every user who favorited it with the old and new price. When a listing is marked as fulfilled, favoriters are notified that it is no longer available. Favorites can be turned off entirely in Settings; when off, the My Favorites tab is hidden.

Reports and moderation — employees can report a listing as Inappropriate Content, Spam or Duplicate, Fraudulent or Misleading, Prohibited Item, or Other (with a required description). Each user can report a given listing once. Reports land in the Admin Reports queue with four resolution states: Pending, Reviewed, Resolved, and Dismissed. Separately, the keyword auto-moderation system scans the title, description, and tags of every new or edited listing against the configured keyword list. A match automatically routes the listing to the approval queue and creates a report record so it appears in Admin Reports.

Saved searches — an employee saves their current Browse filters (category, type, location, keyword, free-only) as a named alert with notifications on by default. A daily scan (13:00 UTC) checks each notifying saved search for newly-matching listings and sends an in-app notification to the owner with a link straight to the matching results.

Message Seller — opens a one-on-one direct-message thread with the seller through the Messages app, pre-filled with a contextual note referencing the listing title. This button only appears when the Messages app is enabled and the viewer is not the seller. The conversation opens in the mail inbox so both parties can continue the exchange.

4. Running it

Reviewing pending listings

When Require Admin Approval is on, or when auto-moderation flags a listing, it lands in the Approvals tab. Approve or reject listings individually or in bulk. The tab shows a badge with the current pending count.

  1. Open Classifieds → Approvals.
  2. Review each listing’s content and photos. Filter by category or search by title.
  3. Click Approve to publish it, or Reject with a reason to soft-delete it. Use the checkboxes and bulk action bar to process several at once.

The poster receives an email and an in-app notification when their listing is approved.

Handling reports

  1. Open Classifieds → Admin Reports.
  2. Filter by status (Pending, Reviewed, Resolved, Dismissed) or by category.
  3. Open a report to see the listing, the reporter, and the reason.
  4. Mark the report as Reviewed (confirmed problematic), Dismissed (no action needed), or Resolved (issue fixed). Bulk actions are available.

Exporting data

Admins can export all listings or all reports as CSV.

  • Listings CSV — title, category, type, status, price, currency, location, posted by, views, favorites, created date, and expiry date.
  • Reports CSV — listing title, category, reason, description, reported by, status, reported date, reviewed by, reviewed date, admin notes, and resolution notes.

Monitoring the marketplace

The Analytics tab (admin-only) shows total, active, fulfilled, expired, and pending listing counts, plus a breakdown by type and category, top posters, most-viewed and most-favorited listings, and a daily new-listings chart. Switch between 7-day, 30-day, and 90-day windows. The default view is 30 days.

Automatic expiration

A nightly job (01:30 UTC) flips any listing past its expiry date to Expired status. When Notify About Expiring Listings is on, the poster also receives an email 7 days before expiry (once per listing) and again when it expires. Expired listings can be renewed by the owner or an admin.

All settings live at Classifieds → Settings, organized into tabs.

Browse and search: the Browse Listings page shows active listings with filters for category, listing type, location, keyword search, photos only, and free items only. Sort by newest, most popular (views), or most favorited. Results are paginated at 20 per page.

Mobile access: Browse, My Listings, My Favorites, Post Listing, and listing detail all have dedicated mobile views at /m/apps/classified. Phone-class browsers are redirected automatically. Admin surfaces (Approvals, Admin Reports, Analytics, Settings) stay on the desktop view.
