Classifieds FAQ
Answers to common setup and operating questions about Classifieds.
For what the app is and how to set it up from scratch, see the
Classifieds Overview.
Setup
Do I need to configure anything before employees can start posting?
The app works with its defaults as soon as you enable it, but review two things first. Create at least a few categories (e.g. Furniture, Electronics, Books) — category is required on every listing by default. And if you turn on Require Admin Approval, also turn on Notify About New Listings in the same settings pass. Otherwise listings queue up for approval with no email to anyone.
Who can moderate listings and review reports?
Business admins, super admins, and anyone granted App Admin for Classifieds. App Admins see the Approvals, Admin Reports, Analytics, and Settings tabs in the sidebar. They can approve or reject pending listings, act on reports, edit or delete any listing, and export data.
Permissions and access
Why can’t some employees see the Classifieds app?
Two gates must both be open. First, an admin must enable Classifieds from the Apps Marketplace. Second, the per-business Enable Classified toggle in Classifieds Settings must be on (it defaults to on). If either is off, employees are redirected away.
Who can edit or delete another person’s listing?
A business admin, super admin, or Classifieds App Admin can edit any listing that is still active or pending approval. The same roles can delete or mark as fulfilled a listing in any status. Regular employees can only act on their own listings.
Day-to-day
How many active listings can one person have?
10 by default. You can change it under Settings → Posting → Max Active Listings Per User. When someone hits the limit, the form tells them and blocks the post until they fulfill, delete, or let one expire.
How long does a listing stay up before it expires?
30 days by default, configurable under Settings → Posting → Auto-expire Listings (days). A nightly job expires overdue listings and sends the poster an email. Seven days before expiry, the poster also gets an expiring-soon email (sent once per expiry cycle).
Can I renew a listing after it expires?
Yes. The owner, a business admin, or an App Admin can extend the expiry by 1 to 90 days from the listing detail page. This re-activates the listing and resets the expiring-soon notification so the poster gets a fresh warning before the new expiry date.
What happens when someone marks a listing as fulfilled?
The listing moves to Fulfilled status and drops out of Browse. Every employee who favorited it gets an in-app notification that it is no longer available. The poster can add optional fulfillment notes.
What notifications does the app send?
| Event | Who receives it | Channel |
|---|---|---|
| Listing needs approval | Moderators (configured group, or App Admins, or business admins) | Email + in-app |
| Listing approved | The poster | Email + in-app |
| Listing expiring in 7 days | The poster | Email + in-app |
| Listing expired | The poster | Email + in-app |
| Price dropped on a favorited listing | Everyone who favorited it | In-app |
| Favorited listing marked fulfilled | Everyone who favorited it | In-app |
| Saved search has new matches | The search owner | In-app |
Expiring and expired emails are controlled by the Notify About Expiring Listings setting (on by default). Approval emails are controlled by Notify About New Listings (off by default).
How do saved searches work?
An employee saves their current Browse filters (category, type, location, keyword, free-only) as a named alert. A periodic job checks for new listings that match, and notifies the owner in-app. The search can be deleted from the Saved Searches page at any time. Notifications default to on for new saved searches but each search can be toggled individually.
When something looks wrong
Why was my listing sent back for approval after I edited it?
If an admin has configured auto-moderate keywords, editing the title, description, or tags triggers a re-check. When any keyword matches, the listing is pulled back to Pending Approval and flagged for review — even if it was already live. The poster sees a flash message that the listing is pending approval.
I can’t post a new listing — it says I’ve reached the limit
Each user is allowed a maximum number of active listings at a time (default 10). Fulfilled, expired, and deleted listings do not count. Free a slot by fulfilling or deleting an existing listing. Ask your admin if the limit has been lowered from the default.
My listing disappeared from Browse — what happened?
Three things remove a listing from the Browse page. It expired (check your expiry emails — you can renew it for 1–90 more days). An admin deleted it or rejected it from the approval queue. Or auto-moderation re-flagged it after an edit. Check your My Listings page — it shows counts by status, including pending and expired.
I don’t see a “Message Seller” button on a listing
That button requires the Messages app to be enabled for your organization. It also does not appear on your own listings. If both conditions are met and you still do not see it, ask your admin whether Messages is active.
Moderation
How does keyword auto-moderation work?
Under Settings → Moderation → Auto-moderate Keywords, enter a comma-separated list of keywords. When any keyword appears anywhere in a listing’s title, description, or tags (case-insensitive), the listing is routed to the approval queue instead of going live. The check also runs on edits — if a live listing is edited and the new content matches, it is pulled back to pending approval.
Can I delete a category once it has been created?
Custom categories can be deleted only when they have zero listings. System categories (seeded when the app is set up) cannot be deleted at all. If a category still has listings, deactivate it instead — inactive categories stop appearing in the Browse filter and the new-listing form.
Licensing and limits
Does Classifieds require a license, and who turns it on?
Yes. Classifieds requires a license and is off by default. An admin enables it from Admin → Apps Marketplace. Once enabled, every employee in the organization can browse and post.
What are the photo and video limits?
| Limit | Default | Configurable? |
|---|---|---|
| Photos per listing | 5 | Yes |
| Max photo size | 10 MB | Yes |
| Photo formats | JPG, JPEG, PNG, GIF | Yes |
| Videos per listing | 1 | Yes |
| Max video size | 100 MB | Yes |
| Video formats | MP4, MOV, AVI | Yes |
All of these are editable under Settings → Media. The poster sees a validation error at upload time if a file exceeds the size or format limit.
What currencies and price limits are supported?
Four currencies are supported: USD, EUR, GBP, and CAD. The default is USD. The maximum price is $99,999,999.99. For Free / Giveaway and Wanted / Request listing types, price is forced to zero automatically.
