Weekly Reports FAQ
Answers to common questions about Weekly Reports.
For what the app is and how to set it up from scratch, see the
Weekly Reports Overview.
Setup
Why hasn’t anyone been asked to write a report?
Turning the app on asks nobody by itself. A person is asked only when an active template matches them. Go to Weekly Reports → Settings → Templates, choose New template, set Who is asked and the schedule, and save it. The ask then goes out at the time the template sets.
When does the ask go out, and when is the reminder?
The ask goes out before the template’s due time, by the amount set in Ask them — from 1 to 48 hours before, and 3 hours by default. It is never sent before 9:00 AM on the period’s first day. If the report is still a draft after the due time, one reminder comes at 10:00 AM on the next working day. Both use each person’s own time zone.
Someone matches two templates — which one asks them?
The first template in the Settings list that matches them asks them, and only that one. Settings lists the people who match more than one template, so you can reorder or narrow the templates. Use the arrows beside each template to change the order.
Who can change the settings and templates?
Company admins and Weekly Reports app admins. They see the Settings tab; everyone else sees My reports and This week.
Writing and sharing
How do I write my weekly report?
Open Weekly Reports → My reports, or tap the ask under Needs you. Write in the form, or choose Draft from my week to pick from things you finished in other apps. You can also choose Talk it through to tell the assistant in Ask AI about your week, typed or by voice. When you are done, choose Share my week.
Can I change my report after I’ve shared it?
Yes. A shared report stays editable by its writer, and the changes show to its readers. A skipped week can’t be changed until you choose Write it after all on it.
How do I skip a week?
Choose Nothing to share this time? on the form. You can give a reason, and only you see it. Your week shows as skipped, and you are asked again when your next report is due. To write it after all, open the skipped week and choose Write it after all.
Why wasn’t I asked to write a report this week?
Either no template asks you, or you were on approved leave for every working day of the period. On leave, your week is skipped for you and shows an “On leave” card. You can still open My reports and write one. If you think a template should ask you, ask your Weekly Reports admin.
What does “Shared after the due time” mean on my report?
You shared the report after the template’s due time. Only you see the note, and nothing else changes: your readers see the report as usual.
Who reads a report
Who can read my report?
By default, your team (the other people your manager leads) and every manager above you read it, plus the template’s standing readers. On the form, Who reads it lets you choose Just your managers for one report, or Everyone in the company. A draft is read by you only.
I’m a manager — why can’t I see one of my team’s reports?
Either it is still a draft, or the person is not on your reporting line in this company. Managers read the reports of everyone below them on the reporting line, including through a manager who has left. A report shared with Just your managers still reaches you.
Who reads the report of someone with no manager?
The template’s Owner reads it. Set the owner in the template under Owner and readers. Standing readers read every report on the template either way.
Can the whole company read every report?
Yes, if an admin sets Who reads a report to The whole company in Settings. Reports left on the default are then read by everyone the app is open to. A writer can still choose Just your managers for one report.
Who sees “Life outside work”?
Only the report’s readers. It is never searched, translated in bulk, put in the weekly wins post or used to draw a poster.
Day-to-day
How do I offer to help with someone’s ask?
On their report or the This week wall, choose I can help on the ask under Could use a hand with. The writer is told who offered. When it’s sorted, the writer chooses Mark sorted, and it leaves the wall’s asks.
How does the weekly wins post work?
Each Monday from 9:00 AM, last week’s wins on reports the whole company can already read are drafted into one News Feed post. It waits for the approver named in Settings under Waiting for your review in Communications. It goes out under their name only once they approve it, and they can edit it first or choose Don’t send it. With nobody named in Settings, no post is drafted.
Why did I get a reminder about a date in my report?
A line in your shared report named a day, such as “RFP due Nov 3”. Weekly Reports reminds you at 9:00 AM on that day, and only you get it. Your report lists these under Reminders from your dates. Take the date out of the line, or remove the line, to stop the reminder.
Licensing and limits
Are there limits I should know about?
- A line holds up to 2,000 characters, and a comment up to 2,000.
- A report’s title holds up to 120 characters; a skip reason up to 500.
- A poster can be drawn once and redrawn up to three more times.
- Date reminders are set for days up to 60 days ahead.
- An unanswered ask leaves Needs you 7 days after its reminder.
Who pays for the assistant and posters?
Your organization. Weekly Reports’ AI is charged to the organization, never to a person’s own AI limit. Settings → AI cost estimates what it costs each week.
