Setup

Do I need to configure anything before employees can take courses?

Training works as soon as it is enabled — you can create a course, publish it, and enroll learners immediately. Two settings are on by default and are worth knowing about before you publish your first course:

  • Allow Self-Enrollment is on. Learners can browse the catalog and join published courses on their own. Turn it off in Settings if you want assignment-only enrollment.
  • Require Passing Quiz is on. When a course includes a quiz, the learner must pass it before the course counts as complete. Turn it off in Settings if quizzes should be optional for completion.

Who can create and manage courses?

Course creation and management require one of three roles: HR Admin, org Admin or above, or Training app admin (an app-specific admin role granted per user). Everyone else sees the learner view — the catalog, their enrollments, and their certificates.

Managers (and the roles above) can open the Manager Dashboard to see their direct reports’ training progress and send reminders. Org admins see all employees; managers see only their own reports.


Permissions and access

Can employees enroll themselves in courses?

Yes, when the business-level Allow Self-Enrollment toggle is on (it is on by default). Each course also has its own Allow Self-Enrollment setting (on by default for courses, off by default for learning paths). Both the business toggle and the per-course setting must be on for a learner to self-enroll in that course from the catalog.

Why can’t a manager see a team member’s training progress?

The Manager Dashboard shows only direct reports. If the employee does not report to that manager in the org structure, they will not appear. Org admins and HR admins see all employees.


Day-to-day

How does a course count as complete?

Completion is lesson-based: the learner’s progress is the percentage of required lessons they have finished in their pinned course version. When progress reaches 100% and all completion requirements are met, the enrollment is marked complete.

If Require Passing Quiz is on (the default), every required quiz lesson must also have a passing attempt before the course counts as complete. Admins can force-complete an enrollment at any time, which bypasses the quiz requirement.

On completion, the platform issues a certificate (if configured), grants any mapped skill, notifies the manager (if manager notifications are on), and recalculates any learning path the course belongs to.

What lesson types can I add to a course?

Six types: Text, Video, Document, Quiz, SCORM Package, and Partner Course (a licensed course from a content partner such as Go1 or OpenSesame). Video lessons support YouTube, Vimeo, Loom, Wistia, Bunny CDN, and direct upload.

How do auto-enrollment rules work?

Enrollment rules have two intents — Assign (enroll someone) and Remind (send a reminder for an existing enrollment).

Assign rules support six triggers: Calendar date, User profile date (e.g. hire date), On course completion, Certificate expiry, Attribute change, and each can run in assign, reassign, or both modes.

Each rule can include criteria to narrow who it applies to: Role, Department, Location, Job title, Hire date, Employment type, Cost center, Division, or Custom field.

Rules are evaluated by a daily compliance sweep, not in real time. A new hire added today will be picked up by the next sweep run, not at the moment of creation.

What happens when a certificate expires?

A certificate of completion itself never expires — it is permanent proof of finishing the course. Expiry applies to the certification (the skill credential) linked to the course. If a course sets a certification expiry period, the associated credential in Skills & Certifications expires after that many days. You can turn on recertification auto-reassign per course so the learner is automatically re-enrolled before their certification lapses.

How do learning paths work?

A learning path sequences multiple courses into ordered steps. Each step groups one or more courses, and each course within a step can be marked Required or Optional. A step with optional courses can require a minimum number of completions (e.g. “complete at least 2 of these 4 electives”).

When Sequential steps is on, learners must complete each step in order. When off, they can work through steps in any order.

Learning paths have their own enrollment, due dates, and completion tracking separate from the individual courses inside them.

Can I duplicate an existing course?

Yes. The duplicate action copies the course with its lessons, shares attachment files, and re-uploads any SCORM package. The copy is created in draft status. If you duplicate a system course (one shared across all tenants), the copy becomes a business-owned course. Business-course copies are titled with “(Copy)” appended.


When something looks wrong

“I finished all the lessons but the course still says In Progress”

The most common cause is a quiz the learner has not passed. When Require Passing Quiz is on (the default), every required quiz lesson must have a passing attempt — not just a submission, but a score at or above the quiz’s passing threshold (default 70 out of 100). Check the learner’s quiz attempts in the enrollment detail.

If the course has no quizzes and still shows incomplete, confirm the learner has completed every lesson in the version they were enrolled in. Lessons added after enrollment may belong to a newer course version; the learner’s progress is tracked against their pinned version.

“My employees didn’t get enrolled automatically”

Auto-enrollment rules are evaluated by a daily sweep, not in real time. A rule configured for new hires checks the User profile date (e.g. hire date) against today’s date. If the employee was just added, the rule will pick them up on the next sweep run.

Also verify that the rule’s criteria (role, department, location, etc.) match the employee’s profile. You can preview which employees a rule would match before activating it.

“The SCORM lesson says it’s processing”

After you upload a SCORM package, it is sent to an external SCORM engine for import. The lesson stays in a processing state until the engine reports back. If it stays in that state for more than a few minutes, the import may have failed — check the lesson detail for an error message. Re-uploading the package will retry the import.

“Learners can’t find the course in the catalog”

A course must be published and not archived to appear in the catalog. Draft courses are only visible to admins in the course management view. If the course is published and self-enrollment is off (either at the business level or on that specific course), learners cannot browse to it — they can only access it through a direct enrollment or assignment.


Quizzes

What question types are available?

Eight types: Multiple choice, True/false, Multiple select, Free text, Ranking, Text matching, Image matching, and Hotspot. All types except free text are auto-graded.

What are the quiz settings I can configure?

  • Passing score — 0 to 100 (default 70).
  • Max attempts — leave blank for unlimited, or set a positive integer.
  • Time limit — in minutes; leave blank for no limit.
  • Question display — “One question at a time” (the default) or “All questions on one page.”
  • Show correct answers — on by default; shows the right answers after submission.
  • Shuffle questions — off by default; randomizes question order per attempt.

Instructor-led training

How do instructor-led sessions work?

A course with delivery mode set to Instructor-led (as opposed to the default Self-paced) can have scheduled sessions — live classes learners register for. Each session has a type (Classroom, Webinar, or Hybrid), a date/time range, an optional instructor, and a capacity (default 12 seats). Learners register for a session; when it fills, additional registrants are added to a waitlist and promoted automatically when a seat opens.


Licensing and limits

Does Training require a licence?

Yes. Training requires a licence and is enabled per tenant by an administrator from the Apps Marketplace.
