Recorder App Overview

Recorder

1. What it is

Recorder is the cloud side of the desktop app’s screen capture. Capturing a region, window, screen or camera in the MangoApps desktop app is free and works whether or not a company has the app: recordings and screenshots are saved on the computer that made them. Recorder adds a company library for those files. With the app enabled, every card in the desktop’s Recorder panel gains an Upload action; an uploaded recording gets a page on the web that plays in the browser, can be shared with named people or the whole company, can be pinned to Bookmarks, and can be downloaded when the owner allows it.

  • Enablement: Recorder requires a license. An admin enables it from the Apps Marketplace, then configures it from Settings inside the app.
  • What it is not: Recorder does not record anything by itself. Capture happens in the desktop app; the web app stores, plays and shares what was uploaded. Recordings are their own library — they are not Drive files and do not appear in Drive.

2. Standing it up

  1. Go to Admin → Apps Marketplace and enable Recorder.
  2. Open the app and go to Settings (visible to admins).
  3. Set Default visibility — every new upload starts Private unless you choose Company.
  4. Set the Maximum upload size (10 MB to 4000 MB; 1000 MB by default). Uploads larger than the cap are refused before any bytes are sent.
  5. Decide whether Allow downloads is on. It seeds the per-recording download switch each owner can still change.
  6. To verify: in the desktop app, capture a screenshot, click Upload on its card, then open the link it copies. The recording’s page shows the file with its poster and details.

There is nothing to install on the desktop side beyond the desktop app itself. A company that has not enabled Recorder sees the desktop panel exactly as before: capture, editing, the tray and the shortcuts all keep working, and no cloud actions appear.

3. How it fits together

Local first — A capture is saved to the computer’s capture folder the moment it ends. Uploading is a separate, optional step, and the local file stays where it is after an upload. A card that has been uploaded shows Copy link and Open in browser instead of Upload; a file edited after its upload shows Upload again.

One row per capture — The desktop identifies each capture by the file it was saved as, so retrying an interrupted upload, or uploading the same capture twice, lands on the same recording rather than a duplicate. Cancelling an upload moves its recording to the recycle bin; uploading that capture again brings the same recording back.

Processing — After the bytes arrive, the server confirms the file type, reads the duration and dimensions the desktop did not send, and makes a poster frame when the desktop did not supply one. The page shows Processing until that finishes, usually within seconds. A file the server cannot read is marked failed with a message asking for the capture to be recorded again.

Access model — A recording is visible to its owner, to the people it has been shared with, and — when its visibility is Company — to everyone in the company. Admins configure the app but do not get a read-all door; they can, however, restore any deleted recording from the recycle bin.

Pins — The Pin button on a recording is a Bookmark; pinned recordings appear on Bookmarks alongside wikis, tasks and pages, and disappear from there if the recording is deleted or the app is turned off.

4. Running it

Uploading from the desktop

Open the Recorder panel in the desktop app, find the card and click Upload (or choose it from the card’s menu). The card shows the progress, then Uploaded; the link is one click away. In the capture editor, Quick Save to Recorder saves the edited image or trimmed clip and uploads it in one step, copying the link when the upload is ready. Cancel an upload from the card while it is in progress.

Working in the library

Recordings lists everything you can see, with Videos and Screenshots tabs, a title search and newest-first or title sort. A recording’s page plays the file, shows its details, and offers Edit (title, description, visibility), Share (add people as viewers or editors), the Allow download switch, Download, Pin and Delete.

Sharing

Share adds named people from the company as Viewer (play, download when allowed) or Editor (rename, change visibility, share further). Switching a recording to Company visibility lets every active member open it without being named.

The recycle bin

Delete moves a recording to the Recycle bin, where it can be restored for 30 days; after that a nightly sweep removes the recording and its file for good. The bin shows how many days each recording has left. Members see their own deleted recordings; admins see every deleted recording in the company and can restore any of them.

5. Settings

Setting What it does
Default visibility Whether a new upload starts Private or Company.
Maximum upload size (MB) The largest file the desktop or the web will accept, clamped to 10–4000 MB.
Allow downloads Seeds each new recording’s download switch; owners can still change it per recording.

6. More help

Capture itself — regions, windows, the camera, editing and shortcuts — is part of the desktop app and does not depend on Recorder. If Upload does not appear on a card, the company has not enabled Recorder, or the desktop was signed in before the app was enabled: sign out of the desktop app and back in.
