Do I need to set anything up before people can start counting stock?
No. Inventory arrives with its fields, views and alerts already built, so you can
add records straight away. The only things worth setting first are what you call a
record and what your reorder points should be.
Can I rename “items” to match what we actually track?
Yes. In the app’s settings you can change what one record is called, its plural, and
the labels on the Items and Board tabs. A clinic can track “supplies” and a
workshop “parts” without anything being rebuilt.
Who can change the app’s settings?
Admins only — business admins, super admins, and anyone granted admin on the
Inventory app itself. They can open settings, edit labels, publish it to a
dashboard, print labels, and remove the demo data. Everyone else can use the app
but not reconfigure it.
What fields does each record have?
Eight: item, SKU, category, quantity on hand, reorder point, status, expiry date,
and location.
Day-to-day
How do I record a stock count?
Use Count stock. It matches what you enter against the SKU, so counting is a
matter of scanning or typing the SKU and entering the quantity you found.
What happens if I count a SKU that isn’t in the list?
The count is rejected rather than creating a new record. This is deliberate. It
stops a mistyped or unrecognised SKU from quietly adding a phantom record. Add the
item properly first, then count it.
Two of us counted the same item at once — whose number sticks?
It depends which control you used. Count stock records the total you entered, so
the later of two submissions is the one that stays. The plus and minus buttons on
the list behave differently. Each tap applies your change on top of the current
figure. Two people tapping at once both land, and the count never falls below zero.
Why does it say more than one record has this SKU?
Two or more records share that SKU, so the count cannot tell which one you meant. It
refuses rather than picking one. An admin needs to correct the duplicate before that
SKU can be counted.
What happens when something reaches zero?
Its status is set to Unavailable automatically and a notification goes out. You
do not have to mark it yourself, and nobody browsing the list will see it as
available.
How does the low-stock alert work?
When quantity on hand drops to the reorder point, a notification names the item, its
current quantity, and the reorder point it crossed. Set the reorder point per item —
that number is what decides when the alert fires.
Are there ready-made views, or do I build my own?
Four are built in: low stock, out of stock, expiring, and needs attention. You can
still filter and search the full list yourself.
How do I print labels for our shelves?
Use the label sheet from the app. One sheet holds up to 120 records. If you need
labels for more than that, narrow the list with search or a view and print in
batches.
Can I put Inventory on a dashboard?
Yes, an admin can publish it to a dashboard so people see stock without opening the
app.
Permissions and access
Why can’t I see the settings page?
Because settings are admin-only. Ask an admin of the Inventory app, or a business
admin, to change a label, adjust a reorder point, or remove the demo data.
Why does the app say it isn’t available for us?
There are three reasons, and each has its own message:
- Inventory has not been enabled for your organization.
- The link you followed belongs to a different organization.
- Power Tables is switched off. That is the data engine Inventory keeps its records
in, so Inventory cannot run without it.
All three land you back at the apps list, and an admin can resolve each one.
When something looks wrong
An item shows as Unavailable but we have stock — why?
Its recorded quantity is still zero. The status follows the count, so it will not
return to available until the quantity is updated. Record a stock count and it
corrects itself.
Why didn’t I get a low-stock alert for something that ran low?
The most likely reason is that the item has no reorder point set, so there is no
threshold to cross. Check the item’s reorder point first.
Licensing and limits
Does Inventory need a licence, and what does it cost to run?
It needs no licence and is enabled per organization by an admin. There is no
per-seat charge and no minimum. Its records live in Power Tables and bill on that
meter, at a pay-as-you-go rate per 1,000 records stored per year. A few thousand
items costs a few dollars a year.
