Information:

Make the equipment return traceable

Northstar Works is a fictional organization used for this equipment-return example. Start with an itemized list and the approved receiving instructions for your location, then match the receipt to what you handed over.

Start with your assigned items

A clear item list makes the handoff and receipt easier to reconcile.

Use your assignment record or the asset label on each device to identify what belongs in the return. Include related accessories you were issued, such as a power adapter or dock, and note anything you cannot locate or identify before choosing a return route.

Keep the receipt trail itemized: each returned device should be identifiable by its asset label or another identifier the receiving team can match to the record.

Prepare the handoff

Use the published instructions for the receiving location.

  1. 1

    Match each device

Compare each device's asset label or assignment record with the equipment you are returning. Write down the identifier for each item.
  2. 2

    Gather related accessories

Collect the accessories issued with the equipment. List each item separately so the receiving team can record what arrived.
  3. 3

    Use an authorized return route

Follow the approved, published instructions for your location. Do not assume that walk-in handoff or shipment is available everywhere.
  4. 4

    Ask for an itemized receipt

Request a record showing each received item and its asset identifier, along with the receiving team or recipient. Compare the record with your list.

Choose the route named in your instructions

These are route types, not a promise that both are available for every employee or location.

In-person handoff

Use this only when the published instructions name an authorized receiving location and explain how to hand over your equipment.
  • Bring the itemized list of devices and accessories.
  • Ask the receiving team to record the asset identifiers.

Approved shipment

Use this only when the published instructions authorize shipment for your location and specify the required handoff details.
  • Follow the stated packing and dispatch instructions.
  • Keep the carrier or dispatch record with your item list.

Resolve exceptions before the handoff

If an assigned item is missing, damaged or different from the assignment record, describe the item and the discrepancy to the IT asset owner. Keep the issue with the private return record so the receiving team knows what to expect.

Ask the authorized team what preparation is required for the device and its information. Do not infer a wiping, reset or disposal procedure from this coordination guide. If the return route or timing is unclear, obtain the receiving team’s instructions before handing over or shipping equipment.

Check the receipt against your list

Fictional worked example from Northstar Works

Employee's item list: laptop — asset label NW-2041; power adapter — included.

Example receipt wording: “Laptop — asset label NW-2041; power adapter — included; received by: IT intake.”

This fictional example shows useful detail: identifiable items and a receiving party. It is not a real receipt or proof of a completed return. If an item you handed over is missing from the actual receipt, raise the discrepancy with the receiving team. If the assignment record does not match the label or equipment, ask the IT asset owner for help with the record discrepancy.
