Prepare the evidence before the supplier discussion

A practical example for receiving and quality teams

Northstar Components is a fictional manufacturer. This example shows how a receiving team can organize facts for a supplier quality discussion; it does not determine material disposition or establish local policy.

Bring four things together: item and lot context, an observable defect description, the containment currently approved by the responsible role, and a clear supplier-review handoff. Use the applicable approved local procedure for decisions and actions.

The discussion-ready evidence set

For the worked example, Northstar's receiving team records a receipt of 240 connector housings, identifies the affected lot, describes a visible burr at one mounting edge, and brings the evidence to the quality owner. The example records containment ownership without instructing anyone to place material on hold or make a disposition decision.

When this preparation helps

Use it for a specific purchased-material quality discussion, not a general supplier scorecard.

  • A finding during receiving inspection Prepare the part identifier, lot and receipt context, the inspection observation, and the approved containment owner before asking the quality role to review.
  • A similar observation on a later lot Bring the later lot's separate identifiers and evidence, then describe the similarity as an observation to review—not as a confirmed recurring cause.
  • A supplier discussion needs clearer evidence Separate what was directly observed from interpretations, and identify which records or images support each statement.

Assemble the handoff

Record facts and ownership; follow approved local procedures for operational decisions.

  1. 1

    Identify the material and receipt

Record the part or item description, supplier reference used locally, lot or batch identifier, receipt date, receiving location, and quantity in scope.
  2. 2

    Describe what was observed

State the inspection point and the visible or measurable condition in specific terms. Keep the observation separate from a suspected cause or conclusion.
  3. 3

    Reference the supporting evidence

Name the applicable inspection record or evidence reference using the approved local source. Note what it shows and which lot or sample it relates to.
  4. 4

    Record approved containment ownership

State only the containment decision already approved by the accountable role, who owns it, and where its current status is maintained. If approval or status is unclear, ask the accountable quality role rather than implying a decision.
  5. 5

Hand the prepared set to supplier-quality coordination

Bring the identifiers, observation, evidence references, and containment owner to the supplier-quality discussion. Ask the quality owner to confirm the applicable local procedure and next handoff.

Worked example: connector housing receipt

Fictional authored reference for discussion preparation only; not a system of record, live work queue, or approved disposition.

Worked example: connector housing receipt
Evidence field Illustrative entry
Item Connector housing CH-410
Lot and receipt context Lot L7K-204; received 14 May; Northstar receiving dock; 240 pieces recorded on the receipt
Observed defect Receiving inspection noted a visible burr along one mounting edge on 3 of 20 sampled pieces
Evidence reference Illustrative inspection record QI-1842; photos labeled to the sampled pieces and lot
Containment owner Quality Engineer role to confirm the approved containment and its current record
Discussion handoff Receiving Inspector brings receipt context and evidence references to the Supplier Quality Engineer

Handoff: evidence to supplier-quality review

The handoff shares the evidence and its ownership; it does not itself authorize a material decision.

  • Receiving Inspector brings the item, lot, receipt context, and inspection evidence.
  • Quality Engineer confirms the applicable approved procedure and any containment decision already authorized.
  • Supplier Quality Engineer coordinates the supplier-facing review and records the agreed follow-up through the organization's approved process.

If the evidence, approved containment, or owner is unclear, pause the handoff and seek clarification from the accountable quality role.

Who contributes to the preparation

Responsibilities below describe roles in the fictional example. Use the organization's assigned quality and supplier-review responsibilities for actual work.

Receiving Inspector
Captures receipt context and reports the inspection observation with its evidence reference.
Quality Engineer
Confirms the applicable approved procedure and owns clarification of containment decisions.
Supplier Quality Engineer
Coordinates the supplier quality discussion and the handoff through the approved local process.
