Coordinate the team before arrival
A practical preparation guide for trade supervisors and project hosts coordinating subcontractor work.
Fictional example: Northstar Property Group is coordinating a subcontractor team for a planned plant-room refurbishment. Use this page to align the employer-to-employer work plan; it is not individual employee onboarding or a substitute for approved local requirements.
Four stages to a coordinated arrival
An illustrative sequence for discussion—not a live workflow, approval record, or completion tracker.

-
2
Resolve approval questionsList approvals or local requirements that may affect the plan. Route each question to its relevant domain owner.Project host coordinates; relevant domain owner advises

3
Coordinate accessDiscuss the proposed arrival time, people and materials expected, and any access or delivery arrangements that need local confirmation.Project host and trade supervisor

4
Hold the coordination meetingReview open questions, agree responsibilities and next handoffs, and record outcomes through the organization’s approved process.Project host convenes; participants confirm their actions
Make the handoffs explicit
Example: before setting an arrival plan for the refurbishment, the trade supervisor asks whether the shared delivery entrance is available for the proposed delivery window. The project host checks the site-specific arrangement with the appropriate local owner; the team does not assume availability from a previous project.
Coordinates site context and brings the right local roles into the discussion.
- Describe the work area and interfaces with ongoing property operations.
- Identify who can answer site-specific approval and access questions.
- Share confirmed coordination details with the trade supervisor.
Represents the subcontractor employer and brings the team’s work plan and questions.
- Explain the planned scope, boundaries, and expected deliveries.
- Identify unresolved questions that could affect the proposed plan.
- Confirm the subcontractor-side role responsible for each agreed follow-up.
Completed coordination note: shared entrance
Fictional meeting record for the plant-room refurbishment; access remains subject to the applicable local process.
| Topic | Recorded discussion | Next handoff |
|---|---|---|
| Proposed delivery | The trade supervisor proposes Tuesday, 09:00–10:00, through the shared delivery entrance. | Project host checks the proposed window with the local entrance coordinator. |
| Operational conflict | The entrance coordinator reports a property-services delivery already planned for 09:00–09:30. | Trade supervisor checks whether 10:00–11:00 would fit the subcontractor plan. |
| Unresolved point | The later window has been discussed but is not yet confirmed. | Project host returns the response through the established coordination route before the team relies on that window. |
