Put usable workplace equipment back to work

For employees with surplus equipment at a workplace, start with the locally responsible Facilities and Sustainability handoff.

Northstar Services is a fictional multi-site organization used for this example. Describe the item and its condition, then wait for handling instructions before moving it. This route is for general workplace equipment, not the return of an assigned IT asset.

Recognize common item families

These fictional examples help you identify what to discuss with the local coordinator; they are not eligibility guarantees or request links.

Furniture
  • Desk chairs, with visible wear or damage described
  • Tables, desks, and storage units
  • Shelving and other movable office furnishings
Meeting-room equipment
  • Whiteboards and mobile stands
  • Room chairs and tables
  • Non-electronic presentation accessories
General workplace supplies
  • Reusable storage and organization items
  • Undamaged signage stands or display fixtures
  • Surplus supplies that can be described and counted

Check condition and data before handoff

Give the receiving team enough information to determine what happens next.

A meeting room set for a handful of people General equipment
Describe visible condition

State what the item is, where it is, how many are available, and any visible wear or damage. Do not describe an item as ready to use if you have not checked it.

  • Separate items with different condition or quantity.
  • Mention missing parts or obvious damage.
Data boundary
Keep possible data-bearing items out of this route

Do not transfer a device, storage media, or component that may contain organizational data through the general workplace-equipment handoff. If its data status is unclear, pause and ask the responsible trained team which route applies.

  • Do not attempt to erase or inspect data as part of this general reuse process.
  • Assigned IT assets follow the organization's separate asset-return process.

Coordinate the transfer

The locally responsible Facilities and Sustainability route provides handoff instructions. Do not move or leave items somewhere without them.

Worked example: after a room change, a Northstar office has six meeting chairs. An employee tells the local coordinator the quantity, room, and visible wear. The coordinator explains what additional details are needed and where the chairs should remain while the handoff is arranged. The employee waits for those instructions and confirms receipt through the local process. This illustrates coordination only; it is not a submitted request or an approval.

  1. 1

    Identify the item

Share the item type, quantity, workplace or room, and visible condition with the local coordinator.
  2. 2

    Check for data-bearing components

If an item may store or expose organizational data, or you are unsure, pause the general reuse handoff and ask the responsible trained team which process applies.
  3. 3

    Contact the local handoff owner

Use the established Facilities and Sustainability route for your workplace. The local coordinator can explain what information to provide and whether the item can proceed.
  4. 4

    Wait for handling instructions

Keep the item where it is until the responsible team gives instructions for its location and transfer. An offer is not approval to move it.
  5. 5

    Confirm receipt

After the handoff, use the local team's established process to record or confirm receipt and the item's next destination.

Choose the appropriate next step

An illustrative decision reference for the fictional Northstar example; the organization's approved local processes determine the actual route.

Choose the appropriate next step
Situation Next step
Reusable furniture or supplies; condition can be described Share the item details with the locally responsible Facilities and Sustainability coordinator and wait for handling instructions.
Condition is unclear, or damage or missing parts may affect reuse Describe the uncertainty and ask the local coordinator what assessment or handling step applies before moving it.
Device, storage media, or component may contain organizational data Do not use the general reuse handoff. Ask the responsible trained team which process applies; use the separate IT asset-return route for assigned IT assets.

Who owns the handoff

These are responsibilities, not named contacts or a live directory.

Facilities and Sustainability guidance: maintains the shared approach to internal reuse and clarifies which local route applies.

Local workplace coordinator: receives item details, explains local handling instructions, and identifies how receipt is recorded.

Responsible trained team: advises on devices or components that may contain organizational data, or when the appropriate handling route is uncertain.

For a specific workplace, use its established Facilities and Sustainability help route. If you cannot identify that route, ask your local workplace support channel to direct you to the responsible owner. Do not move an item until the handoff owner has given instructions.
