Use this page alongside the approved call sheet
Fictional sample setting: Northlight Studio is shooting 'Harbor Lights', and this page covers Day 14 (Thursday 15 October 2026) for permanent staff, temporary crew and contractors working on Stage 2. The approved call sheet from the production office is always the source of record. This page explains how to read it, where to go for access questions and who to ask when something does not match.
Status words used here
- Confirmed: the production office has approved this detail for the day.
- Changed: the detail differs from an earlier issue of the call sheet. Check the date on the notice.
- Pending: the detail is not yet approved. Do not plan around it.

Sample entries for Day 14. Check the dated call sheet for current detail.
| Topic | Sample detail | Owner role | If it conflicts |
|---|---|---|---|
| Schedule source | Call sheet issue 3, dated 13 October 2026 | Production Coordinator | Ask the coordinator which issue is current. |
| Location access | Stage 2 via east load-in gate; pass held at gate desk | Location Manager | Ask the location manager before you travel. |
| Department contacts | Camera, grip and sound heads listed on the call sheet | Department head | Ask your own department head first. |
| Change notices | One dated notice: Stage 2 call now 7:00 am | Venue and Production Operations | Ask the coordinator to confirm the notice against the current approved issue. |
| Wrap time | 6:00 pm target | Production Coordinator | Do not leave early on a rumour; ask the coordinator. |
Who to ask
When your sheet and the notice disagree
Worked example: A grip operator printed issue 2 on Monday and sees 6:30 am. The Tuesday, 13 October 2026 notice says 7:00 am for Day 14. The operator checks with the Production Coordinator, who confirms that approved issue 3 incorporates the 7:00 am call for the grip crew. The operator uses that confirmed issue and alerts the department head to the stale copy.
What to check
- Compare the issue identifiers and dates on the sheet and notice; a later date alone does not establish authority.
- Check that the notice names the same production, day, and crew.
- Confirm an unresolved mismatch with the Production Coordinator before travel.
- If both sources claim to be current, the production office determines the approved issue. Do not choose one by assumption.
Access passes and personal contact details stay in the approved call-sheet distribution. This reference does not replace production-office decisions or approved safety procedures.
