What moves
A coordination example for warehouse, transport, and customer teams
In this fictional example, Northstar Distribution is moving selected orders from Harbor Depot to Ridge Depot. The change concerns the fulfillment location assigned to the order group listed in the reference matrix below; it does not imply that every order, route, or customer is in scope.
Use the approved local operating and safety procedures for any regulated, safety-critical, or sensitive work. This brief illustrates coordination and does not establish local policy or entitlement.
Readiness areas
Use these areas to frame the handoff discussion. The checks are authored guidance, not a live readiness score.

Review the handoff
Warehouse and transport-planning roles walk through the sample handoff and identify which role coordinates an order already in transit. -

Review exceptions
The network coordination role gathers outstanding handoff questions from depot and customer teams for follow-up through the approved local route.
Illustrative order handoff reference
Fictional sample only; this table is not a live queue or system of record.
| Order situation | Fulfillment location | Handoff point | Coordination owner |
|---|---|---|---|
| Selected order group not yet handed to transport | Harbor Depot → Ridge Depot | At the agreed order-ownership transfer | Network coordination role |
| Selected order already in transit when the cutover is discussed | Harbor Depot → Ridge Depot | Review current order context before assigning the next coordination step | Transport planning role, with the depot operations roles |
| Customer asks about an order whose location assignment is unclear | Confirm against the approved order scope | Route the question to the role that can verify the assignment | Customer-team escalation role |
Work through the handoff
A coordination example, not an execution or safety procedure
A warehouse colleague sees that a selected order remains assigned to Harbor Depot while the sample transition to Ridge Depot is approaching. The network coordination role checks the order against the approved scope, then aligns the sending and receiving depot roles on the ownership transfer point.
- Keep the order's current context visible during the coordination discussion.
- Name the receiving role before describing the handoff as complete.
- Use the approved local process for any operational action.
If the order is already moving when the location change is raised, do not assume it follows the same handoff as an order still at a depot. The transport-planning role coordinates a review with the relevant depot operations roles; the customer-team escalation role can carry the confirmed explanation back to the customer team.
- Distinguish an in-transit order from one still awaiting depot handoff.
- Route uncertainty to the named coordination role rather than guessing the next owner.
- Refer to approved local operating and safety procedures where they apply.
