Gather the facts and route the concern
Use this sequence to prepare a handoff; follow the approved local procedure for any operational action.
A concern or discrepancy is a prompt to consult the authorized source and hand off the facts. This page does not determine product disposition.
-
1
Identify the shipment
Record the available consignment, shipment, or load reference and the location where the concern was noticed. -
2
Use the authorized monitoring source
Consult the source designated in the approved local reference. Record the relevant source record or observation; do not infer a limit or decision from this page. -
3
Locate the approved segregation reference
Use the locally approved reference to identify the applicable handling instructions. If its applicability is unclear, ask the designated operations response owner. -
4
Hand off to the specialist
Give the designated temperature-control specialist the shipment identifier, location, concern, and monitoring-source record. The specialist makes the decision under approved local material.
Worked example: keep the handoff factual
At fictional North Quay Distribution, a driver reports a monitoring discrepancy for consignment NQ-204. The depot records the consignment reference, the reported location, and the identifier of the authorized source record, then routes those facts to its designated specialist.
The depot does not decide whether the goods can be released. The specialist checks the approved local material and provides the decision through the established operational handoff.
Useful handoff: “Concern reported for NQ-204 at the receiving bay. The authorized monitoring record is [record identifier]. Please review under the approved local reference.”
Handoff roles
Local operations response owner: receives the reported concern and shipment details, and routes questions about the local process.
Temperature-control specialist: reviews the authorized source and approved local material, then makes the relevant specialist decision.
Use the receiving site's verified contact route. If the responsible role or route is unclear, follow the established operations escalation path rather than relying on an unverified contact.
