Prepare a supervised placement

A practical coordination guide for supervisors hosting students across care settings.

This fictional example follows a four-week student placement at Northbank Community Clinic. Align the learning scope, role boundaries, local questions, supervision, and feedback plan before the placement begins.

Coordinate the placement in four stages

This is an explanatory map, not a workflow or completion tracker. Requirements vary by role and location; use approved local procedures for operational, regulated, and safety-critical decisions.

  1. Agree the scope
Clarify learning objectives, placement dates, setting, and role boundaries with the placement coordinator.

  2. Raise local questions
Identify which access, orientation, and approved-material questions apply, then take them to the relevant local owner.

  3. Arrange supervision
Agree who will supervise, how the student can reach that person, and how changes to the plan will be discussed.

  4. Plan feedback
Set appropriate points to discuss expectations, progress, and the end-of-placement review with the student and coordinator.

Separate placement decisions from local requirements

Use the placement coordinator for placement design and the relevant local owner for site-specific operational questions. Do not assume one location’s requirements apply at another.

Agree with the placement coordinator

Set the placement dates, learning objectives, role boundaries, and who should take part in planned feedback conversations.

  • Record the agreed setting and dates.
  • Clarify what the student is expected to learn.
  • Discuss any proposed change to the placement plan.
Ask the relevant local owner

Ask which site access, orientation, and approved local materials apply to this student’s role and location.

  • Name the questions that still need an answer.
  • Use current local material supplied through the appropriate owner.
  • Route unresolved regulated or safety-critical questions through approved procedures and trained roles.

A supervision change, recorded clearly

Completed coordination example from the fictional four-week Northbank placement. Local procedures still govern supervision.

A supervision change, recorded clearly
Part of the handoff Example entry
Original arrangement A learning discussion with the host supervisor was planned for Friday in Week 2.
Change The host supervisor is unavailable at that time. The discussion has not been reassigned.
Question for the coordinator Should the discussion move, or is an authorized alternative supervisor available under the local arrangement?
People to involve Host supervisor, placement coordinator and student; the coordinator identifies any additional local owner needed.
Illustrative agreed outcome The host and coordinator move the discussion to Week 3 when the host is available. They confirm the revised learning plan with the student.
What remains unchanged No additional activity or independent responsibility is authorized by the scheduling change.

Plan feedback that fits the placement

Agree the cadence with the placement coordinator; these are planning examples, not a required schedule.

An opening conversation can clarify expectations and how the student can raise questions. A midpoint check-in may help the host and student discuss progress and adjust the plan. A closing review can capture learning and handoff points for the coordinator.

Feedback prompts: Which agreed learning objective did this discussion support? What remains unclear? What should the student and host bring to the next conversation? Keep the feedback focused on the agreed learning plan, without including patient-identifying details.

If a question involves a regulated or safety-critical decision, pause that decision and use the organization’s approved procedure and trained-role handoff. For current local materials or help with placement design, contact the placement coordinator or relevant domain owner.
