Ask what would make the work clearer

Feedback can surface practical improvements to role instructions, assignments, handoffs, and support.

Invite the volunteer to describe a specific point in the assignment: what they expected, what happened, and what would have made the task or handoff clearer. Feedback can inform a review; it does not by itself promise a particular decision, response time, or outcome.

Keep sensitive or safeguarding matters within the organization's appropriate approved reporting route. Do not collect sensitive details in an informal channel that is not intended for them.

Have a useful feedback conversation

  1. 1

    Ask about a specific assignment

Invite the volunteer to describe which task, instruction, or handoff they are commenting on.

  2. 2

    Clarify the practical issue

Ask what was unclear or difficult and what information would have helped at that point.

  3. 3

    Choose an appropriate reviewer

Identify the coordinator or staff supervisor who can review the process; route sensitive matters through the approved channel.

  4. 4

    Explain the next communication step

Tell the volunteer who will consider the feedback and how any follow-up will be shared, without promising an outcome or time.
