Prepare a clear technology change decision

For change requesters, accountable change owners, and specialist reviewers assessing impact and rollback choices.

Fictional example: Northstar Office Services decided on 14 May 2026 to update its reporting-platform connector in place. The sample shows how to make the rationale, tradeoffs, checks, and rollback trigger visible; it is not an approval or operating procedure for another organization.

Options and decision

Northstar’s illustrative decision, dated 14 May 2026. The comparison records tradeoffs; it does not authorize implementation.

Comparison: Keep current connector compared with Update in place
Details Keep current connector Update in place
Business fit Leaves the expected compatibility gap unresolved Addresses the stated compatibility need
Service impact No planned change; the existing reporting delay remains Brief reporting interruption during the planned change window
Dependencies No new dependencies Connector owner, reporting service owner, and identity specialist review
Validation and recovery No change validation needed Check representative report refreshes; retain the current connector as the rollback option
Decision Not selected Selected: staged update with a defined rollback trigger

Impact, evidence, and communication

A useful decision record makes its assumptions and observable checks explicit.

Business reason and impact

Northstar’s reporting team uses the connector to refresh a daily operations report. The current connector is expected to lose compatibility with the next scheduled reporting-platform release. The proposed update affects the connector and report refreshes; this example assumes no change to source-system ownership or report definitions.

Dependencies and review roles

  • The requester describes the business need, affected reports, known dependencies, and expected user impact.
  • The change owner coordinates the decision record, review inputs, rationale, and communication plan.
  • The reporting service owner checks report-refresh behavior and identifies the representative validation sample.
  • The identity specialist reviews the connector’s existing access dependency and checks whether the proposed change alters it.

Validation plan

For this example, compare three representative report refreshes with their expected pre-change results, confirm each refresh completes, and check that the intended reporting audience can access the results. Record observations and exceptions in the organization’s approved change record.

Rollback decision

Retain the current connector configuration as the rollback option for the planned change window. The change owner recommends stopping the update and coordinating rollback if a representative refresh fails, the intended audience cannot access results, or specialist review identifies an unplanned access change. Carry out any rollback only through the organization’s approved operational and escalation procedures; this page does not define execution steps.

Communication

Before the change window, the change owner plans to tell reporting users which reports may be interrupted, when the interruption is expected, and how to raise a concern through the organization’s approved route. After validation, the owner shares the outcome and any follow-up through that route.

Decision record summary

Completed fictional example: reporting-platform connector update.

  1. 1

    Decision

Update the connector in place using a staged change; retain the current configuration as the rollback option.

  2. 2

    Decision date

14 May 2026. This is the example’s decision date, not an implementation date or an approval for another organization.

  3. 3

    Accountable role

The change owner coordinates review inputs, the decision rationale, and communication.

  4. 4

    Validation evidence

Three representative report refreshes complete, outputs match expected results, and the intended reporting audience can access them.

  5. 5

    Rollback trigger

A failed representative refresh, an access failure for the intended audience, or an unplanned access change identified in specialist review.
