FICTIONAL EXERCISE — not a real recall

Sample communication for training reference identification and responsibility handoff. The authoritative source for any real recall is the exact approved recall notice used in your organization’s recall workflow.

Store team handoff

Follow the approved notice and your store's approved recall workflow.

  1. 1

    Locate the authoritative notice

Open the exact approved recall notice through the store's approved recall workflow. Do not rely on this exercise page as a real notice.

  2. 2

    Compare all identifiers

Check the notice against the product name, item HBL-204, and batch CEDAR-01. If any identifier is missing or does not match, pause the handoff and escalate the discrepancy to the recall coordinator.

  3. 3

    Complete the approved workflow

Use only the instructions in the matching approved notice and the store's approved recall workflow. This exercise does not supply operational instructions.

  4. 4

    Record and hand off evidence

Record the evidence required by the approved workflow in its authorized system. The store manager confirms the handoff is recorded; the recall coordinator owns escalation of mismatches.

Ownership and evidence

Keep the source, decision, and record connected. The sample below contains no customer information and is not an operational record.

Store manager

Owns the store-level handoff through the approved recall workflow.

  • Confirm the team compared the notice with all listed identifiers.
  • Confirm required evidence was recorded in the authorized system.
  • Escalate any mismatch to the recall coordinator.

Stock team

Supports the identifier check and provides the evidence requested by the approved workflow.

  • Record the product name, item, and batch as shown in the notice.
  • Do not infer missing identifiers or add unrequested details.
  • Tell the store manager promptly if the product or batch does not match.

Sample check record

Worked mismatch for this fictional exercise

Exercise check: the notice identifies Harbour desk lamp HBL-204, batch CEDAR-01. The observed package is the same item but shows batch CEDAR-02.

Outcome: the identifiers do not all match. Record the discrepancy in the authorized recall workflow and ask the recall coordinator to clarify the applicable notice. Do not infer that a similar product name establishes a match.

Handoff note: “Item HBL-204 matches; package batch CEDAR-02 differs from notice batch CEDAR-01. Store manager is holding the source question for the recall coordinator. No recall action is recorded as complete.”
