Make the handoff clear enough to continue

Pass confirmed administrative context, identify what remains unresolved, and name the next responsible role.

A handoff is useful when the receiving role can tell what is known, what still needs an answer, and what action is expected next. Use approved channels and local procedures for sensitive information. Do not repeat a step simply because ownership is unclear—ask the relevant role to confirm the next owner.

Worked example: scheduling to registration

Fictional administrative scenario; the detail is illustrative, not a required workflow.

  1. 1

    Scheduling records the confirmed context

The appointment time has been confirmed in the approved scheduling source. The caller also asks whether a registration detail needs to be completed before the visit.

  2. 2

    Scheduling names the open question

The handoff says, “The appointment time is confirmed. The caller is unsure whether the registration detail is complete; please check the approved registration source.” It does not state that the detail is complete.

  3. 3

    Registration checks its authorized source

The registration role checks the applicable local source and responds through the approved channel with the next administrative step or the role that must resolve the question.

  4. 4

The sender closes the loop appropriately

The sender shares only the confirmed next step and records or routes the handoff according to the organization’s approved process.
