From brief to published message

A useful handoff includes the audience, message purpose, approved source facts, requested channel, target date, and the next owner. Keep the calendar status current so contributors can see whether work is moving, waiting, or complete.

Sample handoff: The Learning Campaign Owner submits the May 15 registration-guide brief with the audience, approved session details, and target date. The editor returns a tightened draft for review; after approval, the channel publisher schedules it and changes the status to “Scheduled.”

Publishing sequence

Each step leaves a clear next action and owner.

If a date or source detail changes, record the change in the calendar and tell the next owner before the handoff.

  1. Owner: Campaign Owner

    Submit a complete brief

Campaign Owner records the audience, purpose, key message, source material, requested channel, and target date.

  2. Owner: Editor

Edit for clarity and channel fit

Internal Communications Editor checks that the lead is useful to the audience and the call to action is explicit.

  3. Owner: Reviewer

    Confirm content and timing

Assigned Reviewer checks the campaign facts and timing; unresolved questions go back to the Campaign Owner.

  4. Owner: Publisher

    Schedule and publish

Channel Publisher checks the final copy, schedules it in the selected channel, and records the resulting status.

  5. Owner: Publisher + Campaign Owner

    Record completion and follow-up

Publisher marks the item Published; Campaign Owner records any planned follow-up or learning for the next campaign.
