Prepare a donation or sponsorship request

Northstar Works is a fictional organization. Its Riverside Community Garden example illustrates how to describe a request, not company policy or approval. Use this page to prepare details, then follow your organization's authorized submission route.

Choose the right starting point

Classify the proposed company support before gathering details.

Donation

A proposed contribution to an external cause without a business benefit in return. Describe the recipient, purpose, amount, and intended use.

Sponsorship

A proposed contribution connected to a business benefit, such as event logo placement. State the contribution and describe each proposed benefit.

Employee volunteering

A request for employees to give time or participate in an activity, rather than a company funding request. Use the relevant volunteering route if one is available.

Prepare recipient information

Gather clear, verifiable details for the reviewer; these prompts are not eligibility rules.

  • Identify the recipient: Record its legal name, operating location, and public name if different.
  • Explain the purpose: Summarize the organization's work, intended beneficiaries, and what the contribution would support.
  • Describe your connection: State how you learned about the recipient and disclose any personal, business, or organizational relationship you know of.
  • Make the exchange clear: Say whether recognition, access, publicity, or another benefit is proposed. If none is requested, state that plainly.

Worked example: one request, two classifications

Fictional details show what a clear description can look like.

Donation

Donation: support accessible raised beds

Northstar Works is asked to contribute $2,000 once to the fictional Riverside Community Garden. The requester identifies the garden, explains that the raised beds are intended to help community members participate in growing activities, and notes that no publicity or other benefit is requested. The request is described as a donation.

  • Contribution: one-time cash contribution of $2,000
  • Purpose: accessible raised beds at the community garden
  • Proposed benefit: none requested
Sponsorship

Contrast: event support with logo placement

If the same $2,000 were offered to support a community event in return for logo placement, the proposal would be described as a sponsorship. The request should name the event and spell out the proposed placement so the reviewer can assess the contribution and benefit together.

  • Contribution: proposed support of $2,000
  • Purpose: support for a community event
  • Proposed benefit: event logo placement

Understand the review handoff

This page prepares a request; it does not submit or approve one.

  1. 1

    Gather the request details

Record the recipient, purpose, proposed amount and contribution type, intended use, any proposed benefit, and known relationships. Include recipient information requested by your organization.

  2. 2

    Use the authorized request route

Submit through your organization's authorized donation or sponsorship process. This page itself does not collect a request.

  3. 3

    Coordinate with Finance and Procurement

The responsible review roles assess the information and follow up through the established process. Ask Finance and Procurement which route applies if you are unsure; no outcome or timeline is implied here.
