The review decision

At the agreed review point, check that the item is still accurate, relevant to its zone, approved for that audience, and within its agreed display period. Record one outcome: renew with a new review date, revise and resubmit, or retire through the configured publishing handoff.

A review date is a governance reminder, not an automatic expiry control.

When a review is overdue

  1. 1

    Notify the zone owner

Send the item title, zone, last recorded review date, and the decision needed.

  2. 2

    Hold renewal pending a decision

Do not assume an overdue item is renewed. Follow the organization's agreed handling for content awaiting review.

  3. 3

    Escalate unresolved ownership

If no accountable zone owner can be identified, route the item to the signage program owner to assign or confirm responsibility.

  4. 4

    Record the outcome

Document the decision, responsible role, date, and any publishing handoff required.

Common review questions

What if the zone owner is unavailable?

Route the pending decision to the signage program owner or the team's designated backup. Record who accepted responsibility before approving renewal or retirement.

What if content changes before its review date?

Treat the change as a new review: update the brief, check accuracy and zone fit, obtain the required approval, and record the revised review or expiry date.

How should retirement be documented?

Record the item, zone, decision date, responsible role, reason, and handoff request to the authorized publisher. A record alone does not remove content from a screen.
