Keep every screen purposeful and current

A practical guide for signage owners, contributors, and approvers.

Worked example: fictional Northstar Services. Use this guide to make clear who owns each zone, who approves content, and when each item is reviewed.

The governance rule

Every screen zone has an accountable zone owner. Each content item names a submitter, an approver, and a review or expiry date. The zone owner checks that content fits the audience and purpose; the approver confirms it is ready for the agreed publishing handoff.

This is a planning guide, not a connected playback scheduler. A recorded approval or display window does not schedule, publish, or remove content automatically.

A worked example of shared responsibility

Keep submission, approval, ownership, and removal responsibilities distinct.

Signage program owner

Maintains the governance approach and resolves an unassigned or disputed zone.

  • Keeps the zone inventory and role model current.
  • Receives escalation when zone ownership is unclear.

Zone owner

For the fictional reception zone, the Workplace zone owner checks visitor relevance and the monthly review date.

  • Confirms the audience and purpose.
  • Requests renewal, revision, or retirement.

Content submitter and approver

A contributor supplies the message and dates; the Communications approver checks accuracy, clarity, and fit before handoff.

  • The submitter provides a complete brief.
  • The approver records a decision before publishing handoff.
