Review an event before sending the invitation

The shared calendar supports planning; it does not determine any person’s attendance or availability.

Use this checklist when selecting a date or preparing an event invitation. Treat calendar entries as a reason to consider options, not as evidence about what an individual believes or will do.

Work through the planning sequence

Example: a fictional Northstar Services cross-team learning session.

  1. 1

    Check the shared observance calendar

Review the proposed date and nearby dates. If an entry is relevant to scheduling, note it as a planning consideration—not a prediction about attendance.

  2. 2

    Compare timing options

For the sample session, the planner compares the proposed Thursday slot with a Tuesday alternative and chooses the option that avoids a known calendar conflict for the intended audience.

  3. 3

    Choose a participation option

The planner shares the session notes afterward and provides a way to submit questions asynchronously.

  4. 4

    Review the invitation

The message invites participation without assuming who observes or asking anyone to explain a scheduling constraint.

  5. 5

    Complete editorial review

A reviewer checks the date reference and wording before the invitation is sent. Unverified calendar details go back to the steward.

What date is proposed? Thursday, 14 May, for a cross-team learning session. Compare the proposed slot with a Tuesday alternative.
What does the shared calendar indicate? A calendar entry falls near the proposed date; it is treated as a scheduling prompt. Do not infer individual observance or availability.
What participation option is available? Session notes and an asynchronous question route can be shared. Include both in the invitation.
Who checks the wording? The editorial reviewer checks the calendar reference and invitation language. Return uncertain date details to the calendar steward before sending.
