Route the change before coverage changes
For agents and workforce coordinators handling an intraday availability or demand change.
Start with the route assigned to your client and delivery team. Identify whether the change is about an agent's availability or about demand, then notify the designated role. Involve the workforce decision owner before changing coverage; this guide does not authorize schedule or coverage changes.
Fictional example: Northstar Service Group supports the Cedar account. In the example below, an agent reports an unexpected availability change to the assignment's designated coordinator, while a separate client demand update is routed to the workforce coordinator for review.
Share the time, affected assignment or work group, and operational impact needed to route the issue. Avoid including unnecessary personal details. If the applicable route or authority is unclear, ask the delivery-team owner to identify the approved assignment-specific procedure.

Example only: Cedar demand update routed for workforce review Low priority
In this fictional example, the client reports a change to expected demand for the current interval. The coordinator records the time and affected work group, routes the update to the workforce decision owner, and waits for coverage direction. This is an authored example, not a live dispatch or current operational notice.

| Change | Initial route | Decision owner | Next handoff |
|---|---|---|---|
| Agent availability changes unexpectedly | Notify the designated assignment contact or workforce coordinator | Workforce decision owner reviews coverage implications | Follow the confirmed direction; notify the designated route when availability returns |
| Client demand changes for an interval | Route the update through the designated client-to-delivery coordination channel | Workforce decision owner assesses the coverage response | Share the confirmed direction with affected delivery roles |
| Route or authority is unclear | Ask the delivery-team owner to identify the approved assignment-specific route | Do not infer approval from an unanswered message | Use the identified route and wait for the appropriate decision owner |

-
1
Identify the change and scope
Classify it as an availability change, a demand change, or an unclear route. Note the relevant time and client, assignment, or work group.
-
2
Notify the designated route
Use the route already assigned to the current client and delivery team. If you cannot identify it, ask the delivery-team owner to point you to the approved procedure.
-
3
Give concise operational context
State what changed, when it applies, which work group is affected, and the observed operational impact. Do not include personal details that are not needed to route the issue.
-
4
Wait for the workforce decision
The workforce decision owner confirms the coverage direction through the designated route. Do not treat this guide, a sample, or an unanswered notification as authorization.
-
5
Close the handoff when normal operations resume
Follow the confirmed direction. Notify the designated route when the exception ends or conditions change, and let the decision owner confirm whether the prior coverage direction resumes or a new direction is needed.
Which situation are you routing?
Use these distinctions to choose what to report; the assignment-specific procedure remains authoritative.
Availability changed
An agent's ability to work an assigned interval changes unexpectedly. Notify the designated assignment contact or workforce coordinator with the relevant time, assignment, and operational impact. The workforce decision owner determines any coverage direction.
Demand changed
Expected work or demand for an interval changes. Route the update through the designated client-to-delivery channel so the workforce decision owner can assess it. Do not independently change staffing or coverage.
The route is uncertain
You cannot tell which client, assignment, or delivery-team route applies. Ask the delivery-team owner to identify the approved procedure before treating a message or informal suggestion as a coverage decision.
