Welcome to your client-site engagement
For contractors and internal hosts coordinating a defined assignment at a client location.
This fictional example follows a Northstar Services contractor supporting a client team at the fictional Harbor Point office. It helps clarify coordination and preparation; it does not grant site or system access or replace instructions from the contractor’s employer or the client.
Four things to get clear
Use these prompts to coordinate the assignment. Applicable instructions come from the appropriate employer, host, or client contact.
Scope
Know the assigned work and ask the host to clarify requests beyond it.
Access
Confirm arrival arrangements with your host before travelling to the site.
Local arrangements
Ask which work areas, rooms, and shared equipment apply to your assignment.
Support
Route day-to-day questions to the host; ask who handles other concerns.
Keep work within the agreed assignment
A practical example
Suppose your assignment is to prepare a weekly project report using the information and workspace agreed with your host. A request to prepare a report for another client is outside that example scope. Pause and ask the host to clarify the request and the appropriate next step before proceeding.
The contractor carries out assigned work and raises unclear or changed requests. The internal host coordinates day-to-day work and helps route questions; the host’s role does not itself change an employer’s or client’s procedures.
Prepare for arrival
Confirm arrangements through the contacts and approved channels already provided for your engagement.
-
1
Confirm the assignment and host
Check that you know the work you are assigned to do and the internal host coordinating it. If either is unclear, ask your employer or the contact who arranged the assignment.
-
2
Ask about arrival
Ask your host which entrance and arrival arrangements apply to your visit, including where to go on arrival.
-
3
Bring what has been requested
Bring only identification or materials already requested through the approved channels for your engagement. This page does not establish an access requirement.
-
4
Pause if arrangements are unclear
Contact your host before relying on an uncertain access arrangement. The host can direct you to the appropriate employer or client contact.
Illustrative office views
Clarify local working arrangements
Ask your host or follow the applicable approved local instructions.
The illustrative photos above are not site wayfinding. For text-based orientation, ask your host to describe the arrival point, directions applicable to your visit, and the agreed work area. Request an accessible alternative if a visual route is not usable for you.
Before settling in, clarify:
- Arrival: which entrance and visitor arrangements apply to your visit.
- Work area: where your assigned work is to be carried out.
- Rooms: how to check whether a meeting room is available for your work.
- Shared equipment: what you may use for the assignment and whom to ask if unsure.
- Questions: how to raise a location-specific concern and whether the host will refer it to a designated client contact.
These prompts are not local policy or permission. The host or applicable approved local instructions are the source for arrangements at the site.
Who can help
Start with the role closest to your question. Your internal host can clarify day-to-day coordination and direct you to the appropriate contact when a matter belongs elsewhere.
Internal host
Coordinates day-to-day assignment questions and local working arrangements; directs site-specific access questions to the appropriate client contact.
Contractor’s employer contact
Handles questions about the contractor’s employment relationship or assignment through the employer’s established channels.
Client’s designated site contact
Handles local access questions when the internal host directs the contractor to this role.
