Check internal readiness before the posting handoff
This page is an internal completeness and routing aid, not legal guidance. It does not state posting rules or deadlines. The designated local owner should verify applicable requirements through approved official sources.
Before handoff, confirm that the packet version, attachment set, and internal review record agree.
Sample readiness check
Record each check in the team's working tracker before routing.
| Check | Observable evidence | Sample state |
|---|---|---|
| Approved agenda version | Packet draft shows the version identified by the clerk as ready for handoff. | Ready — v3 identified |
| Attachments match item | Each attachment listed in the item is present and labeled with its item reference. | Ready — 3 files matched |
| Accessibility review | Assigned reviewer has recorded the applicable document review outcome. | In review |
| Posting owner handoff | Designated owner has received the packet files and the internal handoff record. | Not started |
| Confirmation recorded | Clerk's tracker records confirmation or the specific issue returned for correction. | Pending handoff |

Common handoff questions
What if an attachment is missing?
Pause the handoff, identify the missing file and agenda item, and ask the department lead to supply or correct it. Update the manifest before routing the revised packet.
What if a correction arrives after handoff?
Notify the designated posting owner through the established channel, identify the affected item and file version, and record which packet copy is superseded. Follow the local process for any required next action.
What counts as an internal completion record?
A tracker entry or handoff note that identifies the packet version, the receiving owner, the confirmation or issue, and the clerk's follow-up.
