Bring a focused question to the right role
This page describes common support responsibilities using fictional role examples, not actual staff assignments. Use your organization’s established finance and procurement contact route; the role descriptions here do not create a service channel or promise a response time.
Before reaching out, identify the department and period, the decision or interpretation you need, the assumptions involved, and the request or variance context.
Typical support roles
These role descriptions explain common responsibilities. The appropriate local finance or procurement contact route is set by your organization.
Finance business partner
Discusses financial context, planning assumptions, and how a proposed change affects the department outlook.
Budget analyst
Helps interpret budget categories, period comparisons, and the basis used in planning or variance analysis.
Procurement partner
Clarifies the procurement handoff for a planned purchase and what information is useful for that discussion.
Prepare a useful handoff
Share enough context for the partner to understand the question without reconstructing the analysis.
Include the comparison
Name the department, category, and period; show the relevant plan, actual, or forecast basis; and state the size of the difference when known.
- Identify which periods and amounts you are comparing.
- Separate confirmed figures from estimates.
- Link the question to the assumption or request that drives it.
Ask for the specific interpretation
Say what you need clarified—for example, whether a moved workshop changes only quarterly timing or also the annual expectation. If the question concerns a planned purchase, describe the need and timing for the procurement conversation.
- State the decision or interpretation needed.
- Describe what changed and what remains uncertain.
- Do not present an unreviewed forecast as an approval.
